VU Online delivers fully online Higher Education courses for Victoria University (VU). Victoria University is a dual sector university that offers the VU Block Model, an Australian first that lets students focus on one unit at a time – leading to increased student success.

About the role:
Due to organisational growth, an exciting administration opportunity has arisen to join the VU Online Operations team In this role, you will assist VU Online in coordinating the delivery of its fully online courses, including:

Manage administrative processes related to courses such as results, ASPBs, progressions, completions and course calendars.

Coordinate with VU Online management team and Internal/external stakeholders on administrative processes to facilitate delivery of courses.

Provide advice to Student Recruitment and Student Recruitment teams on course application and enrolment processes and resolve any issues as they arise.

Day to day:

Work with the Couse Manager, Dean and Academic Course Coordinators to manage course administration tasks for each of the 14 study periods of varying lengths including: results; progressions, completions, alumni sponsorships and software access for students.

Work with the Course Manager, Dean and Academic Course Coordinators to manage annual course administration tasks including: course configurations; and setting the academic, admissions and progression calendars.

Act as the interface between student success and student recruitment teams, and relevant parts of the university, such as Admissions, Advanced Standing, Enrolments or Student Financials to resolve issues.

Coordinate with Academic Course Coordinators for them to contact students to resolve any student academic matters.

Run application and enrolment reports for new, continuing and completing students.

Compile a list of post-census enrolments for each of the six annual study periods and liaise with third parties to ensure invoices are correct prior to payment by Finance.

Keep accurate records and document all procedures in the Student Administration Manual.

Assist in maintaining and updating the VU Online Course Carousel in line with directives from the CEO and Dean on new and existing courses.

Support VU Online staff/students and third-party staff with access to software (e.g., Technology One Student Management System Software (Student One), IRESS).

Keep abreast of processes and procedures with view to improving and streamlining ways of working.

Key Selection Criteria (about you)

A Bachelor's degree or higher (ideally Business, Management, Health or Education related), plus relevant experience; or an equivalent combination of education and relevant experience.

Demonstrated experience working in student administration in Higher Education institutions, ideally in Admissions, Enrolments or Student Financials.

Strong customer mindset, and experience in working with stakeholders at different levels.

Demonstrated high attention to detail and problem-solving skills and abilities

Ability to use Microsoft office suite (including Word and Excel) and Outlook functions (including Calendar).

A sound understanding of the problems and challenges faced by mature-aged students balancing busy work, online study and home lives.

Previous experience work to strict deadlines (our Academic calendar operates six annual study periods)
