About the Position
WorkPac is seeking an experienced Executive Assistant for a role based in Brisbane for a short-term duration. The purpose of the role is to provide an administrative support service to Group Legal and personal assistant support to the General Counsel – Australia.
Key Responsibilities
* Provide personal assistant support to the General Counsel Australia and Corporate Counsel, including answering phone calls, diary management, and preparing correspondence.
* Provide administrative support to members of Group Legal, including organising travel and other logistical support, reconciling Spendvision statements, and organising couriers.
* Collect and distribute Group Legal mail, including timely recording and distribution of litigious correspondence and other time-sensitive documents and notices.
* Maintain Group Legal electronic data management system (EDMS), provide technical support when required, and file Group Legal day-to-day correspondence and records.
* Provide technical support to members of Group Legal with Microsoft Office, EDMS and other office equipment, and liaise with the Global Service Desk and local IM team in relation to other requirements and issues.
* Book meeting rooms, set up and cater (if required) for Group Legal organised meetings.
* Maintain existing paper records filing system and file new paper records for Group Legal.
* Maintain AAMC safe storage system, retrieving documentation when required by internal clients and ensuring all necessary documents are stored.
* Maintain formal procedure for and coordinate execution of documents by appointed company secretaries, directors and authorised representatives, including first review of contracts submitted for execution.
* Identify and implement improvements to Group Legal's systems and procedures.
* Provide administrative support for the Anti-Trust / Competition Law compliance system, including recording receipt of self-certification letters, registering users in the online training tool COMPLY, monitoring completion of requisite training by employees, assisting with six-monthly audits, and monitoring approval of conference agendas by General Counsel Australia and Corporate Counsel.
* Prepare and distribute monthly external legal fees report.
* Collate and report Group Legal monthly accruals.
Skills & Experience Required
* Some secretarial experience, preferably within a legal environment.
* Capacity to manage and prioritise work with competing priorities.
* Intermediate competencies with MS Windows and MS Office Professional (Word, Outlook, Excel, Powerpoint), internet and intranet functions.
