We are seeking an experienced, highly organised administrator to provide high-level, confidential support to the Executive Team at The Hills Shire Council. This pivotal role supports our Executive team to operate efficiently and effectively in a fast-paced, community-focused environment. You will play a key role in keeping leadership organised, prepared and informed, anticipating needs while juggling competing priorities across multiple projects and stakeholders. What this role looks like

* Act as the primary liaison for executive communications, exercising discretion and prioritising matters appropriately with internal and external stakeholders.
* Manage complex, competing diaries, anticipating priorities and aligning schedules to maximise executive effectiveness.
* Support the preparation of executive reports, business papers, proposals and draft responses as required.
* Process executive expenses in line with The Hills Shire Council policy.
* Attend meetings as required, record minutes, track actions and proactively follow up to ensure completion.
* Maintain accurate and compliant records across The Hills Shire Council systems and document management systems.
* Handle confidential and politically complex matters with sensitivity.
* Undertake ad hoc duties as required to ensure the smooth operation of the Executive Team.

What are we seeking in our new team member

* A Diploma in Business Administration or related discipline.
* Demonstrated experience (minimum 5+ years) supporting Managers, Senior Leadership/Executive.
* Exceptional organisational skills with the ability to manage competing priorities under pressure.
* Polished written and verbal communication skills, with the confidence to engage at executive level.
* High levels of discretion, professionalism and emotional intelligence.
* Advanced proficiency in Microsoft Office (Word, Outlook, Excel, PowerPoint, Teams).
* Experience using TechOne or similar corporate systems (desirable).
* Experience within Local Government or the public sector (desirable).
