NEP Australia is looking for an Administration Assistant/Receptionist to provide support and reception cover along with related duties to assist various departments within the company. You need to have a flexible attitude and be committed to always providing a high standard of customer service.
This is a permanent part‐time position working every Tuesday, Wednesday and Thursday from 09:30 am to 02:30 pm, 15 hours per week.
Key Responsibilities
* Manage front desk operations.
* Act as the face of the company and first point of contact for all clients, staff, contractors, and trades, greeting and welcoming visitors and guests.
* Manage the security pass system, issuing passes for new staff, clients, visitors and trades, ensuring everyone has completed their site induction.
* Manage incoming calls/emails and redirect/action as appropriate.
* Manage car parking for staff, visitors and trades on a weekly basis.
Invoice Management
Process facilities invoices and other general billing tasks such as setting up vendors, working closely with the accounts payable team.
Office Administration
* Manage incoming and outgoing mail, including Australia Post, overseas/domestic and local couriers.
* Manage, replenish and order stationery, office, food and kitchen supplies for all staff, ensuring supplies are fully stocked, and coordinate vendor services (e.g., fruit boxes).
Event Support
* Provide catering for client meetings and monthly site morning teas for celebrations such as birthdays.
Workplace Safety
* Act as a First Aider and Fire Warden.
