Primary objective
Provide high-level administrative and logistical support to Wellbeing Services, ensuring the efficient delivery of wellbeing programs
for Northern Territory Police Force and Northern Territory Fire and Emergency Services personnel. This role requires strict
adherence to confidentiality and information security standards in handling sensitive member data.
Context statement
Wellbeing Services provides critical psychological, emotional, and rehabilitative support to NTPF/NTFES personnel and their
immediate families. As part of a multi-disciplinary team (MDT), this role is integral to ensuring the smooth delivery of wellbeing
programs by managing administrative processes, maintaining confidential records, and coordinating logistics in accordance with
government policies and data security requirements.
Key duties and responsibilities
1. Provide efficient administrative support, including managing shared email inboxes, diaries, travel bookings, meeting
coordination, and correspondence.
1. Maintain accurate and secure records of confidential member wellbeing information, ensuring compliance with privacy, data
security, and governance requirements.
1. Process invoices, purchase orders, and financial transactions, ensuring compliance with procurement policies.
2. Support the coordination of wellbeing programs, training, and events, managing logistics and documentation.
3. Act as the first point of contact for the unit, responding to general enquiries, tracking requests, and greeting clients, while
ensuring discretion and professionalism in sensitive matters.
1. Collaborate with internal and external stakeholders to support the seamless operation of wellbeing programs and services.
Selection criteria
Essential
1. Demonstrated experience providing high-level administrative support in a structured environment, with strong organisational
and time management skills.
1. Proven ability to handle confidential and sensitive information with discretion and comply with relevant privacy and record-
keeping policies.
1. Proficiency in Microsoft Office (Word, Excel, Outlook) and experience with or ability to learn Territory Records Manager (TRM),
NTGPay, or similar systems.
1. Strong written and verbal communication skills, with experience liaising professionally with stakeholders.
2. Ability to work autonomously and collaboratively within an MDT, demonstrating adaptability and initiative.
Desirable
1. Previous experience in an administrative role within a mental health, wellbeing or allied health setting.
2. Familiarity with first responder organisations and their wellbeing needs.
