The Role: Reporting to the General Manager, you will be responsible for delivering executive-level administrative and operational support to the General Manager, Sales and Estimation Manager, and broader Senior Leadership Team. Responsibilities include and are not limited to: Prepare documents, letters, briefing papers, reports, presentations, including collection and correlation of statistical data, as required to carry out specific contracts and research. Receive, review, and prioritise correspondence for the General Manager and Sales & Estimating Manager. Support the day-to-day diary management for both Managers, including organising appointments, meetings, travel and attendance at conferences and functions. Support the leadership team in planning and coordinating internal events, including meetings (i.e. Quarterly technician meetings), workshops, and team-building activities, ensuring all logistical aspects are managed effectively. Assist in preparing and managing sales proposals and tenders, ensuring timely coordination and submission of all required documentation. Assist the Sales and Estimating Manager in tender submissions and figures reporting, from the planning, development and structuring, to review, proof reading and lodgement. Supporting the General Manager in the provision of weekly/quarterly/annual Board and Executive reporting. Supporting the Senior Management Team in the creation of presentation decks and material. Adhoc administration, meeting room setup and MS Teams coordination. Attend meetings and prepare meeting Minutes. The Candidate: You have a ‘can do’ attitude, high attention to detail, are self-motivated, numbers savvy and have a high level of written and communication skills. 3 to 5 years of experience in a similar role is essential and previous experience in the building services industry an advantage. Intermediate to advanced level of MS Office i.e. Word, Excel, Outlook, PowerPoint and Access. This is a permanent full-time role with enormous potential (40 hours per week in the office.) 8:00 am to 4:30 pm or 8:30 am to 5:00 pm, ½ hour lunch break.
