Primary purpose of position
As a member of the Technology Delivery PMO (TPMO), reporting to the Technology Delivery PMO Manager you will provide day to day support and coordination to the Program, focusing on program reporting, governance forums, people and culture initiatives, communications and vendor and stakeholder management practices.
TSD Project Coordinator
You will be assigned to the support of one or more projects and programs across Technology Service Delivery program, where you will support the respective program or project manager in delivery and project management activities.
Project Coordinator responsibilities:
* Providing day to day support and coordination to the program/project, including communications, meetings, forums, project control register management and workshops.
* Providing financial analysis and support to the program/project and liaising with the PMO finance function to ensure alignment with TSD finance requirements.
* Supporting the Program/project manager in the coordination and operation of monthly reporting and governance cycles and liaising with the PMO Assurance function to ensure alignment with TSD reporting and governance requirements.
* Supporting the program/project manager in the management or risks, issues, decisions, changes and other project management controls and compliance with TSD and wider Project control requirements.
* Lead and coordinate program /project information management processes and procedures and liaising with the PMO Information Management function to ensure alignment with TSD information management requirements.
* Analyse and evaluate the effectiveness of the program/project administration functions and develop methods aimed at greater success.
* Develop and communicate weekly updates for the internal team.
* Supporting the Program/Project Managers to successfully undertake their roles by supporting the following activities:
o Stakeholder analysis and observations.
o Develop templates for future communications.
o Coordinate stakeholder meetings and workshops.
o Coordinate travel.
o Technical, vendor and engineering staff coordination.
o Communication registers and other logs.
* Manage program administration processes including HR, team on-boarding and off-boarding, and associated approvals, liaising with the PMO resourcing function to ensure alignment with TSD resourcing requirements.
Accountabilities and responsibilities:
* Site Coordination, including site surveys, civil works and equipment installation for contractors, engaging with technology partners and geographically diverse project teams.
* Create and maintain Project spreadsheets to track project deliverables, dependencies & artefacts, appointments.
* Provide relevant documentation to Technical Integrators and Technical Environmental Change Specialists. Ensure safety documents and environmental control requirements are provided to both technology partners and contractors.
* Engage with Workforce Deployment department regularly to communicate resource requirements to support Project schedule. Raise forms and provide relevant documentation for all site access requests.
* Develop and distribute weekly reports to keep technology partners, the project team and other stakeholders informed of project schedule updates and changes as well as project progress, achievements, dependencies and outstanding requirements.
* Prompt team members to raise work plans, work instructions, approval forms and prepare and send drawings. Review, prioritise and elevate approval forms to be signed.
* Support the Program/Project Manager in weekly meetings with technical integrators (and other team members as required) to discuss outstanding documentation status.
* Support the Program/Project Manager in weekly meetings with Project Team to discuss schedule/ dependencies/ requirements.
* Attend and participate in weekly project meetings with technology partners to discuss schedule/ dependencies/ requirements.
* Provide weekly progress reports & detailed schedules to Airservices stakeholders across different scope/projects.
* Request and follow up approvals for overtime/project expenses.
* Raise and receive purchase orders, request credit card payments.
* Set up suppliers, request quotes and resolve issues with accounts department
Minimum Skills, competencies and qualifications:
* Must be Australian citizen and have the ability to obtain Baseline and/or Airservices Security Clearance as required.
* Minimum 5 years' experience working in programme and/ or project delivery (ideally in relation to service transition / migration)
* Strong written and verbal communication skills, with a proven ability to communicate with ICT and business senior executives, internal and external stakeholders and to elevate issues appropriately.
* Demonstrable experience with regard to interpersonal, consultative, organisational and facilitation skills
* Demonstrable experience engaging with geologically diverse project teams
* High attention to detail and capable of delivering a high level of accuracy

Casual Loading
Please note for all Australian based contract and temporary roles only, the pay rate is inclusive of mandatory 25% casual loading. This excludes permanent and fixed term roles.
