We are seeking an organised and proactive Team Administration Assistant to provide high-quality administrative and coordination support across the business.
This pivotal role sits at the centre of our business, acting as a key conduit, coordinating activities across the Paraway Leadership Team, supporting our CEO, senior leaders and Board members, and ensuring the smooth, professional running of the Orange office.
Key areas of focus include:
* Coordinating diaries, travel, meetings and materials for the Paraway Leadership Team (PLT) members and Board members
* Coordinating and supporting projects and business initiatives
* Proactively following up on issues through to resolution with stakeholders
* Supporting internal and corporate communications, including the Buchanan Times
* Being a key member of the organising team for our annual Manager's conference
* Ensuring day-to-day administrative operations are efficient and professional

Key Responsibilities
Board, CEO, & PLT Support
* Provide high-quality administrative support to our Board, CEO & PLT members
* Manage and coordinate diaries, including scheduling, negotiating appointments and preparing supporting documentation
* Coordinate travel and accommodation for Board, CEO & PLT members, ensuring accuracy and compliance
* Assist with report writing, formatting, proofreading and compiling presentation materials
* Support planning and delivery of PLT meetings and events, including agendas, logistics, catering, setup and minute-taking
* Co-ordinator[SJ1] for corporate functions and major regional events, including the annual Manager's conference, Christmas party, Orange Office team events and training
* Process and reconcile expenses and invoices promptly and in accordance with policy
* Organise and collate meeting agendas, prepare materials, distribute papers and follow up action items
* Coordinate room bookings, teleconferencing/video conferencing equipment and refreshments
* Assist with scheduling and maintaining the corporate calendar, ensuring alignment with business priorities
* Act as a professional first point of contact for internal and external enquiries, maintaining confidentiality at all times
Station & Office Support
* Key contact for stations and head office regarding electricity and other service providers as necessary[SJ2] [SJ3] [CC4]
* Maintain office facilities and services including security, stationery, kitchen supplies, cleaners, trades and procurement (including clothing)
* Coordinate equipment servicing and maintenance as required
* Maintain digital and hard copy filing systems to a high standard
* Manage incoming and outgoing mail, couriers and document flow
* Answer and direct the main phone line and manage general enquiry emails
* Greet visitors professionally and coordinate sign-in and office protocols
Internal & Corporate Communications
* Coordinate the collation of the Buchanan Times magazine
* Maintain and enhance corporate branding materials including logos, templates and style guides
* Educate staff in the use of corporate branding and communications resources
* Maintain and monitor our website, social media channels and other corporate communication channels
* Update the Company SharePoint/Intranet site, working closely with IT and external vendors for escalations or improvements
Experience
* Proven experience in administrative or office support roles, with a professional and discreet approach
* Strong written and verbal communication
* Advanced Microsoft Office and cloud platform skills (Outlook, Word, Excel, PowerPoint, Teams, SharePoint).
* Excellent attention to detail, time management and ability to juggle priorities.
* Can-do attitude, working well independently and with a wide range of people.
* Passion for agriculture and confidence working with regional and station teams (highly regarded).
