We are currently seeking a motivated and organised Assistant Practice Manager to support the day-to-day operations of the practice and work closely with the Practice Manager and clinical team.

Core Responsibilities
1. Front Desk & Patient Experience Leadership
* Perform and oversee daily front desk operations
* Ensure excellent patient communication (phone, SMS, email, in-person)
* Handle complex patient queries, concerns, and escalations professionally
* Ensure patients feel welcomed, informed, and supported at every touchpoint

2. Appointment Book Management
* Monitor and optimise the appointment book daily
* Identify and address gaps, cancellations, and underutilised chair time
* Support rebooking and recall systems (especially hygiene and follow-ups)
* Coordinate patient movement between Braeside and Launceston Dental when required
* Work closely with clinicians to maximise efficiency without compromising care

3. Team Support & Coordination
* Support and guide front desk staff and dental assistants
* Act as a point of contact between staff and Practice Manager
* Assist with onboarding and training of new team members
* Promote a positive, respectful, and accountable team culture
* Help manage daily staffing issues (leave, lateness, coverage)

4. Systems, Compliance & Protocols
* Ensure practice policies and SOPs are followed consistently
* Assist with compliance related to:
* Infection control
* Privacy & confidentiality
* AHPRA / Dental Board standards
* Support audits, checklists, and documentation
* Maintain high standards of cleanliness, organisation, and professionalism

5. Financial & KPI Support
* Assist with daily reconciliation and financial processes
* Support tracking of key performance indicators (KPIs)
* Support billing accuracy, claims, and payment processes
* Identify trends and flag issues to the Practice Manager

6. Treatment Coordination & Case Follow-Up
* Support treatment plan presentation and follow-up
* Assist patients in understanding treatment options and processes
* Coordinate larger or complex cases where required
* Support recall and patient reactivation efforts

7. Problem-Solving & Continuous Improvement
* Proactively identify operational inefficiencies
* Suggest improvements to systems and workflows
* Assist with implementation of new processes or initiatives
* Maintain a solutions-focused mindset under pressure

Experience & Background (Preferred)
* Experience in dental practice administration (preferred)
* Knowledge of dental software and appointment systems (advantage)
* Experience in customer service, team coordination, or management support
