Pro-Jax is a well-established, Queensland owned and operated house-raising and re-stumping company seeking a Bookkeeper for approximately 10-20 hours per week.
Reports to :
Director and Business Manager.
Sales, marketing, and social media experience would be highly desirable.
This role will be responsible for daily financial duties as well as providing administrative support to our small team.
Position is flexible and may evolve with business development, needs, or as requested by the Director.
Occasional outside-hours contact may be required for urgent financial matters or pressing questions, kept to a minimum.
Tasks & Responsibilities
1. General bookkeeping, including bank reconciliations and ledger management.
2. Manage daily and weekly cash flow and budgets using Excel.
3. Process timesheets, payroll, superannuation, and leave entitlements.
4. Allocate timesheets to correct jobs.
5. Handle employee reimbursements.
6. Prepare monthly management accounts and reports with commentary.
7. Manage payroll tax lodgement.
8. Generate Profit & Loss reports for jobs.
9. Update Works in Progress reports.
10. Coordinate with external bookkeeper and accountant for annual QBCC financial reporting and licensing.
11. Process invoices with job/cost allocation in Xero.
12. Maintain and allocate purchase orders.
13. Ensure timely payments to suppliers via Xero and bank approvals.
14. Follow up with clients for prompt payments.
15. Review and maintain insurances, including Public Liability, Business, Vehicles, and Workcover.
16. Stay informed of relevant legislation, including awards and personnel documentation.
General Administration
1. Answer and direct phone calls.
2. Maintain digital and hard copy records.
3. Archive records as needed.
4. Create and update business procedures.
5. Collect mail weekly.
6. Monitor and respond to emails.
