The Role We’re seeking a warm, capable and proactive Executive Assistant to provide exceptional administrative and executive support primarily to the Victorian General Manager and the Chief People Officer (CPO), while also supporting the East Melbourne office with a range of administrative duties. Based at our East Melbourne head office, this role is ideal for an experienced Executive Assistant who thrives in a fast-paced environment, enjoys building trusted relationships, and brings structure, discretion and calm to busy leadership schedules. You’ll work autonomously, act as a trusted and confidential partner to senior leaders, and play a key role in supporting the smooth day-to-day operations of the corporate office. Key Responsibilities Your responsibilities will include: Providing high-level executive and administrative support to the Victorian General Manager and CPO, including diary and inbox management, meeting coordination, agenda preparation, minute taking, travel arrangements and expense reconciliation Preparing documents, presentations, reports and Board materials with accuracy and attention to detail Acting as a professional and approachable point of contact for internal and external stakeholders, including senior leaders, regional managers, brand General Managers and external suppliers Supporting the smooth operation of the East Melbourne head office, including general administration, office coordination and facilities support Undertaking project work and ad-hoc initiatives that support the wider business Liaising with internal and external departments in a confidential and professional manner Promptly and effectively managing competing priorities and stakeholder requests About You You’re organised, approachable and reliable the kind of person leaders trust to get things done thoughtfully and efficiently. You bring a calm, solutions-focused mindset and take pride in delivering high-quality work.
