Key Responsibilities
Executive Support
* Manage and prioritise the CEO’s calendar and meeting schedule.
* Coordinate travel and logistics where required.
* Screen and coordinate incoming communications.
* Ensure time is aligned to business priorities.
Meeting Coordination & Governance
* Prepare structured agendas (based on CEO input).
* Compile pre-read materials from Procurement, Finance, Sales and Operations.
* Take accurate and professional meeting minutes.
* Maintain action registers and circulate follow-ups.
* Track completion of agreed actions and escalate overdue items.
Board & Reporting Support
* Collate and format board and leadership reporting packs.
* Ensure submission deadlines are met.
* Support preparation of presentations and documentation.
* Maintain document version control and distribution lists.
Leadership Coordination
* Act as a central coordination point between the CEO and direct reports.
* Schedule leadership forums (weekly operations calls, monthly reviews, quarterly sessions).
* Redirect operational matters to appropriate leaders where required.
* Escalate urgent matters to the CEO.
Administrative & Systems Support
* Maintain organised filing systems and documentation.
* Support internal communication preparation.
* Assist with event coordination and leadership workshops as required.
