Overview
The Royal Hobart Hospital is Tasmania's tertiary referral hospital. The Emergency Department (ED) is a 24/7 tertiary level service with >75,000 annual presentations, a 35% admission rate and a 20% paediatric case load. The co-located Emergency Medical Unit (EMU) provides short-stay care for patients requiring < 24 hours.
The Role
Administrative Support
– Provide high-level administrative and secretarial support to the Director, Nurse Unit Manager (NUM) and Clinical Nurse Consultant (CNC) of the ED. Prepare confidential documents, correspondence, briefings, reports and meeting minutes; coordinate appointments, meetings and travel arrangements; maintain electronic diaries.
Operational Systems
– Manage efficient administrative systems supporting daily ED operations. Support development and review of administrative practices, contribute to project activities and participate in quality improvement and safety initiatives.
Human Resource Functions
– Oversee recruitment processes (PageUp), timesheet management, unplanned leave, annual leave and professional development requests. Liaise with internal stakeholders (payroll) and external parties as required.
Leave and Payroll
– Maintain and reconcile electronic leave bookings and payroll reports for medical, nursing and ancillary staff.
Staff Rosters
– Coordinate nursing and ancillary staff rosters, update rosters, identify staffing shortfalls and initiate relief arrangements. Maintain rostering systems (ProAct).
Business Support Collaboration
– Assist the Business Support Officer in reviewing and evaluating administrative practices and standards and in decision making regarding project activity matters.
Information Management
– Support the development and maintenance of information management systems and databases to enhance departmental efficiency and reporting capabilities.
Ancillary Services Representation
– Represent Ancillary Services at management and inter-hospital meetings and relevant committees, providing updates, reports and insights.
Document Review
– Undertake critical review and follow-up of documents and information to ensure relevance and accuracy, and facilitate effective communication across the department.
Other Duties
– Perform other duties as directed, consistent with the scope, qualifications and experience expected at this classification level.
Qualifications
Strong knowledge of contemporary office management practices and well-developed computer skills with experience across a range of programs.
Highly developed interpersonal and written communication skills; professional manner; negotiation and liaison abilities; maintain relationships with internal and external stakeholders.
Experience with computer systems in a health care environment.
Proven understanding of the dynamics of a multidisciplinary team operating in an Emergency Department or hospital-based environment, or the ability to acquire the same quickly.
Appointment Details
Administrative Assistant – Emergency Department ) – Fixed term, part-time, shift worker, 16 hours fortnight, commencing 3 March ****. Alternate weekend essential.
Executive Assistant ) – Fixed term, part-time, day worker, 15.2 hours fortnight, commencing 3 March ****.
Hours negotiated with successful applicant.
Salary and Superannuation
General Stream Band 3 – $73,811 to $79,779 per annum (Pro rata). Public Sector Unions Wages Agreement ****. Employer contributes 12% superannuation on top of this amount.
