Position Summary
The Executive Assistant to the Mayor and Councillors provides high-level executive and administrative support to ensure the efficient coordination of civic duties, meetings, and communications This role is central to maintaining professionalism, confidentiality, and positive stakeholder relationships, while also delivering exceptional customer service and supporting the strategic goals of Wodonga Council This role will build strong working relationships with the Mayor and Councillors to ensure needs are met through effective communication
Key Aspects of the Role
Executive and Administrative Support
Efficiently manage the Mayor and Councillors schedules, correspondence, meetings, and travel while preparing high-quality documents and maintaining confidentiality
Customer and Stakeholder Engagement
Act as a professional first point of contact, fostering strong relationships and delivering responsive, courteous service in line with Council values
Meeting and Event Coordination
Plan and deliver civic events, meetings, and ceremonies by managing logistics, preparing materials, and ensuring smooth execution
Communication and Information Management
Prepare accurate correspondence and reports, track enquiries, and manage records to support informed decision-making and timely responses
Operational Efficiency and Support
Maintain organised systems and proactively identify improvements to enhance administrative processes and support team collaboration
Professional Conduct and Ethical Governance
Demonstrate integrity, discretion, and respect in all interactions, upholding Council policies and supporting ethical governance
Key Selection Criteria
Our ideal candidate will be able to show us the following
High-Level Executive and Administrative Support
Demonstrated experience in providing high-level executive and administrative support, including diary and schedule management, correspondence handling, document preparation, and coordination of meetings, travel, and events
Confidentiality, Discretion, and Political Acumen
Proven ability to handle sensitive and confidential information with discretion and sound judgment, particularly in a local government or politically sensitive environment Strong awareness of governance protocols and ethical considerations when supporting elected officials
Strong Communication and Interpersonal Skills
Excellent verbal and written communication skills, with the ability to draft correspondence, reports, and briefings, as well as engage effectively with diverse stakeholders, including Councillors, staff, community members, and external organisations
Organisational and Time Management Skills
Demonstrated ability to prioritise tasks, manage competing deadlines, and work effectively under pressure in a dynamic environment while maintaining accuracy and attention to detail
Customer Service Excellence and Stakeholder Engagement
A strong commitment to high-quality customer service, with the ability to liaise professionally and courteously with internal and external stakeholders, ensuring positive community engagement and responsiveness to inquiries
Proficiency in Technology and Office Systems
Advanced proficiency in Microsoft Office Suite Word, Excel, Outlook, and PowerPoint and experience with records management systems, electronic diaries, and other administrative tools relevant to executive support and local government operations
