Administrative Support Role

We are seeking an experienced and skilled professional to provide high-level administrative support to the Vocational Education and Training (VET) office. As a key member of our team, you will be responsible for coordinating and managing diaries, scheduling meetings and committees, drafting agendas, minutes and action plans, and associated follow-up tasks.

The successful candidate will have experience delivering high-level executive administrative support, with a demonstrated ability to work under pressure, manage competing priorities and deadlines, and maintain productive working relationships with senior leaders.

You will also be required to administer all files, templates and reporting for the office, assist in the management of finance reporting and administration, and collaborate with colleagues across multifunctional teams to provide a high-level and responsive service.


Key Responsibilities

* Coordination and Scheduling: Manage and coordinate the diaries of the CEO and Director of VET, schedule meetings and committees, and ensure accurate record-keeping.
* Travel and Accommodation: Coordinate and manage all travel and accommodation arrangements for the VET office.
* File Management: Administer all files, templates, and reporting for the office of the CEO and Director, and assist in the compilation and production of reports, submissions, statistical summaries, and data sets.
* Finance Administration: Assist in the management of finance reporting and administration for VET, including the preparation of financial statements and other relevant documents.


Qualifications and Skills

* Administrative Experience: A minimum of 2 years' experience in providing high-level executive administrative support, preferably in a Vocational Education and Training (VET) or higher education environment.
* Time Management: Proven ability to work under pressure, manage competing priorities and deadlines, and maintain productive working relationships with senior leaders.
* Communication: Excellent written and verbal communication skills, with the ability to prepare high-quality documentation and present information effectively.
* Technical Skills: Proficiency in Microsoft Office suite, with the ability to learn new software programs and work with enterprise systems.
