Position Purpose
The State-Based Event Lead is responsible for delivering high-quality, engaging events within their assigned state. This role oversees the full end-to-end event lifecycle - from planning and logistics through to on-the-day hosting and post-event follow-up. The Lead plays a pivotal role in building community, assisting with speaker recruitment and management, venue liaison and strengthening member engagement ensuring a seamless event experience for attendees, speakers, and partners.
State based event Leads will be required for WiD events (which are typically held in the morning and evening, however some are throughout the day). All pre and post event work can be undertaken at the team members discretion throughout the week.
State based events leads currently being sought in QLD, NSW, VIC.
Key Responsibilities
Event Planning & Management
* Managing and delivering the annual event schedule for the assigned state
* Creating memorable and engaging events from beginning to end
* Creating event run sheets, briefing documents, and timelines
* Ensuring all events adhere to organisational quality standards and brand guidelines
* Supporting a range of event types including panels, solo speakers, roundtables and more as required
Speaker Recruitment & Management
* Identify, source, and recruit high quality speakers, facilitators, and panel participants aligned with event themes and audience needs as required
* Manage communications, briefing, contracts/agreements, and schedules for speakers
* Source bio's from speakers for the WID team to support event promotion
* Work with the WID team to define speaker questions
* Support speakers with preparation, presentations, and logistics to ensure a smooth experience
Event Hosting
* Serve as the primary host and face of the organisation during state events
* Welcome attendees, introduce speakers, moderate sessions (where required), and support attendee engagement
* Manage on-the-ground troubleshooting and adapt quickly to ensure a seamless attendee experience
* Take photos, videos and key insights from speakers for post event content
Stakeholder & Partner Engagement
* Work closely with internal teams (marketing, partnerships, membership) to ensure cohesive, prompt and accurate communication and promotion
* Build and maintain strong relationships with venues, suppliers, sponsors, speakers, and community partners
* Represent the organisation professionally and proactively in all external interactions
Event Administration & Reporting
* Update event budgets, expenses, and supplier invoices
* Track registrations, attendance, and feedback for continuous improvement
* Prepare post-event reports with insights, outcomes, and recommendations
* Maintain event documentation, contact lists, and operational processes
Supporting Organisational Goals
* Promote the organisation & membership to non-member attendees
* Source feedback from existing members about satisfaction with existing services and events
* Promote WID Campaigns - eg. WID Awards promotions, Annual Report Participation promotion to event attendees and relevant state based professional networks
* Identifying target Corporate Member attendees and promoting partnership opportunities, including Corporate Membership, Event Hosting and Sponsorship opportunities
Key Selection Criteria
ESSENTIAL
* Understanding of and experience with the Digital / Technology industry
* Demonstrated experience in event co-ordination or event management
* Strong hosting/presentation skills with confidence speaking to groups
* Excellent organisational and logistical planning abilities
* Strong communication and stakeholder engagement skills
* Confidence in Public Speaking
* Ability to manage multiple deadlines and adapt quickly during live events
* Proficiency with event management and communication tools
* High degree of professionalism and customer service orientation
* Value alignment with Women in Digital's purpose and mission
DESIRABLE
* Experience in managing senior stakeholders
* A digital / technology recruitment background
* Familiarity with community engagement, member-based organisations, or industry networks
* Experience moderating panels or facilitating discussions
