The Finance Office plays an integral role in the success of the University ensuring responsible stewardship through financial performance and strategic procurement, with a view to financial sustainability and growth.
About the role
The Purchasing and Contracts Officer provide high-quality administrative and operational support across all stages of the procurement lifecycle. This includes managing supplier onboarding, processing requisitions and purchase orders, maintaining accurate records, and supporting procurement reporting and compliance. The role also ensures efficient administration of purchasing cards and requisition workflows in PeopleSoft, enabling timely and policy-compliant transactions.
Key Responsibilities
* Process and monitor purchase requisitions, purchase orders, and change requests in PeopleSoft, ensuring compliance with procurement policies and procedures.
* Support supplier onboarding and maintenance, including collecting compliance documentation, coordinating approvals, and maintaining accurate supplier records.
* Administer corporate credit card (FlexiPurchase) transactions, ensuring timely acquittals, correct coding, and complete supporting documentation.
* Manage procurement accounts and vendor relationships, including office stationery and CabCharge, overseeing user access, usage monitoring, and reconciliation.
* Coordinate month-end processes, including reconciliation of procurement transactions, review of open POs, and assistance with accruals and financial reporting.
* Provide first-level support to staff on procurement systems and procedures and maintain accurate procurement records and documentation.
Qualifications, skills & experience
* Completion of a diploma-level qualification or an equivalent combination of relevant experience and/or education/training.
* Proven experience in procurement, purchasing, or finance administration within a medium to large organisation.
* Proficiency in using finance or ERP systems (preferably PeopleSoft); Experience in using corporate card/expense systems such as FlexiPurchase (desirable).
* Strong understanding of procurement processes, including requisitions, purchase orders, and supplier onboarding.
* Excellent attention to detail, time management, and the ability to manage competing priorities in a high-volume environment.
* Strong interpersonal and communication skills, with proficiency in Microsoft Office and a commitment to continuous improvement.
