About the role
This part-time Administration Assistant position in Port Macquarie, NSW offers an exciting opportunity to support two busy psychologists. As an Administration Assistant, you will play a crucial role in supporting the smooth day-to-day operations of our combined practices, contributing to the delivery of exceptional client care.
What you'll be doing
* Providing general administrative support, including managing reception, welcoming and assisting clients in a friendly and professional manner, answering phones and scheduling appointments.
* Assisting with the preparation and sending of invoices, reports, and other practice documentation.
* Processing Medicare, HICAPS, and EFTPOS payments and reconciling payments received, ensuring accurate financial records are maintained
* Setting up and maintaining accurate client records in practice software (Halaxy).
* Maintaining and updating the practice's filing systems
* Ordering and managing office supplies and equipment, including liaising with service providers when equipment or software issues arise (e.g., computers, phones, air conditioning).
* Assisting psychologists with administrative tasks, treatment plan tracking, and reporting.
* Maintaining compliance with Medicare, Workcover, and EAP requirements
* Collaborating with the psychologists to ensure efficient practice operations and contributing to continuous improvement of practice processes and client experience
* Assisting with the coordination of bookings for additional casual rental room
What we're looking for
* Someone highly organised, reliable, and detail-focused
* Proven experience in a similar administrative or office support role, ideally within a professional services or healthcare environment (desirable but not essential)
* Strong organisational and time management skills, with the ability to multitask and prioritise effectively
* Excellent communication and customer service skills, with a friendly and professional demeanour
* Proficient in the use of standard office software, including Microsoft Office suite
* Familiarity with Medicare and practice management systems (Halaxy desirable)
* A keen eye for detail and a commitment to maintaining accurate records and documentation
* A flexible and adaptable approach, with the ability to work collaboratively
* Able to work independently with initiative
* Availability to work specific required days for this part-time position
