Role Title: Support Services and Administration Officer – Toowoomba

Team: Support Team

Location: Toowoomba

Level: Level 3 -$76,376.56 pro-rata- Social, Community, Home Care and Disability Services Industry Award. Salary sacrificing available.

Reports to: Senior Leader – People and Systems

Contract: Full time – Fixed Term –6 months

Role Purpose

The primary purpose of this role is to provide high level operational, logistical and administration support to the QPASTT office at the Toowoomba Multicultural Centre located at 15 Snell Street, Toowoomba. This position is a part of QPASTT Support Team which integrates several functions comprising human resources, facilities, finance administration, information technology, stakeholder management and administration support to CEOs.

The role within the team is located mainly in the QPASTT office in Toowoomba.


Character

You will have an understanding about the recovery of refugee survivors of torture and trauma and be able to provide respectful and high standard of service and support to our clients.

You will be able to work alongside team members and engage in collaborative practice with colleagues. You will work towards achieving the common goals for the team whilst being accountable for your individual role in achieving these goals.

The Support team is integral in realising the strategic goals for QPASTT and ensuring that our processes and systems are fit for the future. You will be agile, adaptive and willing to learn and exercise new skills to provide welcome to all QPASTT clients and to support all QPASTT staff to access organisational systems and processes.

The Support team is very diverse and you would feel comfortable working with staff from a range of cultural and religious backgrounds as well as lived experiences.


Responsibilities


Facilities Management

* Work closely with QPASTT's Head Office (Brisbane) regarding building management, maintenance schedules, and capital works as required including:
* Maintain a schedule of and organise regular maintenance of facilities such as air conditioning, electrical test and tag, pest control, carpet cleaning in consultation with the People & Systems Senior Leader.
* Identify, escalate and respond as directed to emerging issues (e.g. lights replacement, removal of broken equipment, fixtures and paintings, printers, phones) across the Toowoomba office.
* Liaise with external contractors for all maintenance and building jobs.
* Manage the maintenance of QPASTT fleet located at the Toowoomba office by ensuring that cars are cleaned and serviced according to the schedule and that the cars have fuel cards, toll tags, log books.
* Organise building access for new staff within a reasonable period of their commencement and escape any issues in a timely manner. Induct new staff to building security protocols at the Toowoomba office.


Administration Support

* Enter Group and individual registrations into relevant data base in an accurate and timely manner.
* Monitor and maintain office supplies including stationary, kitchen, toilet, hygiene and storage, ensuring all storage spaces are used appropriately and maintained.
* Provide general administrative assistance to relevant Toowoomba Team Leaders, QPASTT Support Team and the People and Systems Senior Leader.


Operational Support

* Support the coordination of client arrivals, waiting areas and room allocations.
* Provide logistical arrangements for stakeholder visits, meetings and events.
* Support coordination of meetings, workshops and community events, including room setup and catering.
* Provide accurate information about QPASTT's services and refer enquiries appropriately.


Other

* Actively contribute to the health and safety at QPASTT by being aware of the safety policies and procedures and consciously applying these everyday to ensure the health and safety of our workplace.
* Other ad hoc tasks and project support as required.


Requirements

1. At least three years' experience in reception and administration roles.
2. Excellent communication skills both written and verbal, with ability to liaise with a diverse range of stakeholders.
3. Excellent interpersonal skills, including the ability to work cross-culturally and as part of a team.
4. Deep appreciation of digital platforms and systems to enable the office to function efficiently, including high level of functional knowledge and experience in using Microsoft programs including Word, Excel, Outlook and Access.
5. High level of organisational skills – planning, coordinating, priority setting, task management and follow through.
6. The ability to work autonomously as well as under direction, using initiative and problem solving skills.
7. Desirable - Knowledge and understanding of clients and issues associated with people from refugee and asylum seeker background.


Conditions of Employment

1. Current Positive Notice Blue Card and provision of an annual federal police check.
2. Current Queensland C Class driver's licence.
