Operations Administrator - Albany Office
About the Role
A dynamic and well-established organization is seeking a detail-oriented Operations Administrator to join its team in Albany. This role plays a central part in coordinating operational and administrative activities, supporting project execution, contractor liaison, and invoicing.
The successful candidate will manage contract workflows and hire schedules through TFO (The Fleet Office), oversee accurate and timely invoicing in Xero, and coordinate operator logistics such as rostering, travel, and accommodation.
This is a hands-on position suited to someone who enjoys maintaining order, staying two steps ahead of logistics challenges, and keeping systems running like clockwork.
Key Responsibilities
Contract & Financial Administration
* Administer and track contracts using TFO, ensuring records are accurate, current, and complete.
* Conduct daily and weekly monitoring of operational data to support preparation of monthly invoices and project claims.
* Create and manage invoices in Xero, maintaining accuracy and aligning with project schedules.
Operational Coordination
* Coordinate operator logistics, including rosters, flights, and accommodation arrangements.
* Track and report staff movements and asset allocations through TFO.
* Support project management tasks and reporting in Smartsheet.
Systems & Process Support
* Maintain and reconcile data across TFO, Xero, and internal reporting systems.
* Assist in refining administrative workflows and ensuring consistent, efficient processes.
About You

You'll bring:
* Demonstrated experience in operational administration or project coordination.
* Proficiency with Xero and advanced competence in Microsoft Excel.
* Familiarity with TFO or similar hire management software (advantageous but not essential).
* Excellent attention to detail, time management, and communication skills.
* A proactive approach with a willingness to learn and solve problems independently.
