Your opportunity
We're looking for a highly motivated and detail-driven Business Development Project Officer to become an integral part of our Business Development team. In this rewarding role, you'll provide critical project coordination and administrative support to the General Manager, Lead Bid Manager, and broader Business Development team, playing a key role in shaping initiatives that secure Government funding to directly support our mission to help Australians in need move towards independence.
You'll be at the centre of a fast-paced and purpose-driven environment, where no two days are the same. From managing our Business Development CRM system and streamlining internal processes to facilitating strategic meetings and supporting end-to-end tender submissions, your work will contribute to the smooth, efficient, and successful delivery of high-impact tender submission and proposal projects across the organisation. You'll collaborate with a wide range of internal stakeholders, solve problems creatively, and ensure that communication flows effortlessly across departments.
Your key responsibilities will be to:
- Ensure efficient and effective meeting preparations, agenda setting, documenting and follow up for commencement of tender development projects, opportunity assessment process, proactive proposal development, submissions and closure of projects.
- Support monitoring and communication of funding opportunities from tender inboxes and Government/other tender release portals.
- Escalate project risks and issues as they arise and actively solve problems as required creatively and in collaboration with relevant Business Development team members.
- Liaise and build strong relationships with key Mission Australia internal stakeholders outside of Business Development team and ensure all risks, actions, issues, dependencies and decisions are clearly documented, managed and regularly reviewed.
- Manage tender project communications schedule as required by the Business Development team to ensure the right stakeholders are receiving the right messages at the right time.
- Clearly communicate and manage follow up with relevant stakeholders regarding projects to ensure transparency and timeliness of all inputs and outputs.
- Monitor and maintain Business Development CRM to ensure smooth functioning of the system and the optimisation of its full capability for business and process improvement.
- Monitor and maintain Business Development team SharePoint and other multiple MS Teams sites per tender and proposal opportunity including documentation audits, distribution and logs.
- Maintain project calendars including key meetings, staff leave and key dates with follow up on any actions and escalate where necessary.
Requirements for success
- Relevant qualifications in Project Management, Business or related fields (preferred).
- 3 years+ experience leading project management on complex projects in business or similar environments.
- Previous experience working in the Human/Community Services sector in a similar capacity within large scale projects (preferred).
- Experience in project coordination with demonstrated capability in managing and prioritising concurrent work priorities.
- Demonstrated experience in effective database management and data analysis capability.
- Familiarity with, or ability to quickly develop knowledge of, tendering processes especially Government tendering.
- Solid understanding of project life cycle, concepts and terminologies.
- Results oriented with ability to calmly deliver effective outcomes while consistently demonstrating Mission Australia's values.
- Excellent written and verbal communication skills, with the ability to convey complex ideas clearly and effectively across diverse audiences.
- Strong relationship management with the ability to build sustainable genuine stakeholder relationships.
- Intermediate competency in the Microsoft Office suite of programs including Outlook, Teams, Dynamics 365, SharePoint, PowerPoint, Excel and Word. Competency in Dynamics 365 Sales (CRM). Advanced competency in MS Teams site management and coordination (preferred).
