Join a growing Indigenous-owned civil construction and plant hire business!

Koomba Bidi is seeking a highly capable and commercially minded Office Manager to support our growing business across office management, business administration, team coordination, tender support, pre-contracts and Marketing.

Aboriginal and Torres Strait Islander candidates are strongly encouraged to apply.

This is not a traditional administration role.

We are looking for a proactive, organised and confident all-rounder who can work closely with the General Manager and leadership team, support an agile office team, improve systems and help keep the business moving forward.

The right person will be fast-paced, solutions-focused and comfortable working across multiple areas of a growing construction business.

About Us

Koomba Bidi is a growing Indigenous-owned civil construction and equipment hire business operating across Western Australia.

We support major clients across the mining, infrastructure, defence, utilities and government sectors, delivering civil works and project support services.

As the business continues to grow, we are looking for someone who can bring structure, energy and professionalism to our office and internal operations.

About the Opportunity

As Office Manager, you will work closely with the General Manager and leadership team to support day-to-day business operations, office coordination, tender preparation, pre-contracts, internal systems, reporting, document control and team communication.

This role would suit someone who has worked in a medium-sized construction, civil, mining services, contracting or infrastructure business where they have had to be hands‐on, adaptable and involved across multiple parts of the business.

You will be responsible for helping keep the office, systems, people and priorities on track.

Key Responsibilities

* Manage general office duties and day-to-day business administration.
* Support internal functions across administration, recruitment and mobilisation, marketing, procurement, assets and finance.
* Maintain office systems, registers, templates, filing structures and business records.
* Support onboarding, compliance documentation and internal business processes.
* Identify opportunities to improve workflows, systems, document control and business efficiency.
* Assist with reporting, correspondence, presentations and general business communication.
* Provide day-to-day guidance and support to an agile office team.
* Support a positive, professional and high-performance office culture.
* Support the leadership team with planning, coordination and execution of key business tasks.
* Support the preparation of tenders, expressions of interest, capability statements and client submissions.
* Assist with executive summaries, written responses, project profiles and company information.
* Coordinate tender deadlines, document control, clarification registers and submission requirements.
* Help maintain tender templates, project profiles, company CVs and supporting documentation.
* Prepare well‐written executive summaries, business correspondence, reports and internal communications.
* Support creative writing for tenders, proposals, strategy documents and client‐facing material.
* Assist with presentations, company profiles, communication packs and internal documents.
* Ensure documents are well structured, visually professional and suitable for client‐facing use.

What We're Looking For

You will be someone who is:

* Highly organised, energetic and proactive.
* A genuine self‐starter who takes ownership.
* Comfortable working in a fast‐paced and growing business.
* Able to manage multiple priorities, deadlines and stakeholders.
* Confident supporting senior leaders and working across different business functions.
* Strong in written communication, creative writing and document presentation.
* Commercially aware and able to understand client expectations.
* Calm under pressure and able to prioritise effectively.
* Positive, reliable, professional and solutions‐focused.
* Willing to roll up their sleeves and help wherever required.

To be successful in this role, you will ideally have:

* Previous experience as an Office Manager, Executive Assistant, Business Support Manager, or similar.
* Experience within construction, civil, mining services, infrastructure, contracting or a related industry.
* Strong experience preparing tenders, proposals, EOIs, capability statements or client submissions.
* Excellent written communication, formatting and document presentation skills.
* Experience managing or coordinating support services teams in office duties.
* Strong Microsoft Office skills, particularly Word, Excel, Outlook and PowerPoint.
* Minimum 5 years' experience working in a medium-sized business where flexibility, initiative and ownership are essential.

Aboriginal and Torres Strait Islander Applicants Encouraged

As an Indigenous-owned business, Koomba Bidi is committed to supporting Aboriginal and Torres Strait Islander employment, participation and career development.

We strongly encourage applications from Aboriginal and Torres Strait Islander candidates, as well as candidates from diverse backgrounds who share our values and want to contribute to a growing Indigenous business.

Why join Koomba Bidi?

This is an opportunity to join a growing business where your contribution will make a real impact.

You will work closely with the leadership team, be trusted to take ownership, and play a key role in improving systems, tenders, communication and the way the business operates.
