Job Role: Legal Secretary
We are seeking a skilled and organized individual to fill the role of Legal Secretary. This position involves providing high-level support to our team, ensuring the smooth operation of our legal practice.
Key Responsibilities:
* Manage legal files from creation to closure, including conflict checks, updates, archiving, and document control.
* Coordinate authors' calendars and deadlines to ensure efficient workflow and timely delivery.
* Support the development and maintenance of authors' practices with a focus on high-quality client service.
* Prepare, proofread, and format legal documents and correspondence to a professional standard.
* Conduct legal research and searches as required.
* Liaise professionally with clients, barristers, expert witnesses, opposing solicitors, and associates on behalf of authors.
* Assist with WIP, billing, and debtor management.
* Handle general administrative tasks including filing, photocopying, data entry, and expense processing.
* Organize business travel arrangements and itineraries.
* Provide basic paralegal support, including document collation and court bundle preparation.
* Offer team support during peak periods or staff absences.
Requirements:
* A minimum 1-year experience in a secretary or similar role within legal, intellectual property, or professional services.
* Proficient in Microsoft Office (particularly Word and Outlook).
* Tech-savvy with the ability to quickly learn new systems and processes.
* Strong attention to detail and high accuracy.
* Excellent time management and organizational skills, with the ability to prioritize under pressure.
* Clear and confident communication skills – both written and verbal.
