Our Executive team is based in Broome, and this role sits alongside the CEO and senior managers in our Executive Administration building. You'll be part of the engine room of the organisation.
About the Role
This is a dynamic EA to CEO / Administration Assistant position with real scope and influence.
You'll act as the CEO's trusted right hand, providing high-level administrative support while helping coordinate and streamline activity across the Executive team. You'll be the first point of contact for many internal and external stakeholders engaging with the CEO, ensuring matters are handled professionally, prioritised appropriately and directed to the right place.
We're open to full-time or part-time hours. If you're looking for school hours across Monday to Friday, we're open to that too. If part-time suits you best, tell us what days and hours work for you. We're genuinely flexible and will shape the role around the right person.
Key Responsibilities
* Acting as the CEO's primary administrative support and coordination point
* Managing meeting preparation and follow-up actions
* Preparing agendas, taking accurate minutes and tracking action items
* Coordinating Board meetings, workshops and leadership meetings
* Planning and organising events such as Board meetings, morning teas, staff functions and the annual Christmas celebration
* Monitoring incoming communication for the CEO, prioritising matters and redirecting where appropriate
* Maintaining corporate records, files and key organisational documents
* Maintaining compliance and policy documentation, including distributing approved policies to staff and saving them within internal systems
* Maintaining fleet and asset registers
* Overseeing office supplies and ensuring the Executive office runs smoothly
* Assisting with travel bookings, reporting and general administrative support to the Executive team
* Supporting improvements to systems, processes and internal coordination
* You'll have the opportunity to use your experience to help the Executive team operate efficiently and strategically.
About You
* You're someone who: Has some administration experience, ideally as an EA or office coordination role
* Understands how to support senior leaders while maintaining professionalism and discretion
* Is organised and enjoys keeping things structured and on track
* Takes pride in their work and good communication skills
* Is confident taking meeting minutes and managing sensitive information
* Has sound judgement and can confidently prioritise and redirect matters where appropriate
* Notices details, anticipates issues and communicates concerns early
* Can juggle competing priorities without getting flustered
* Lives in Broome and values being part of the local community
* Experience in a not-for-profit or community services environment is helpful, but not essential. The right attitude, integrity and reliability matter most.
