We are seeking an experienced and highly organized Administrative Assistant/Scheduler to join our team. As an Administrative Assistant/Scheduler, you will play a critical role in ensuring the smooth operation of our day-to-day activities, managing schedules, and providing administrative support to our team.
Responsibilities:
* Manage and coordinate schedules, calendars, and diaries for the technical and installation teams
* Experience in multi-location scheduling for field service team is required
* Provide administrative support, including preparing correspondence, reports, and presentations
* Develop and maintain spreadsheets, databases, and other records
* Coordinate meetings, appointments, and travel arrangements
* Handle incoming and outgoing mail, emails, and phone calls
* Maintain confidentiality and handle sensitive information with discretion
* Perform other administrative tasks as required and support the small team in accounting tasks
Prerequisites:
* Minimum 3-5 years of experience in an administrative role is required.
* Proficiency in scheduling software, Xero, Microsoft Office Suite is essential.
* Experience with Simpro management and scheduling software is preferred
* Excellent organizational, time management, and communication skills
* Australian work rights are essential at the time of application.
* Ability to work independently and as part of a team
* Strong attention to detail and accuracy
* Reliable and able to maintain confidentiality
