About Us

The Women's Centre is a not-for-profit service offering a range of supports to women and their children in Townsville and outreach to the local region. Outreach areas include Ingham, Ayr, Charters Towers and The Townsville Women's Correctional Facility. The Women's Centre is a women's only space incorporating the following services; Specialist Homelessness Service, Women's Health and Wellbeing Service, Sexual Assault Support Service, and a 24hour interagency Sexual Assault Response Service.

About You

* Certificate IV in Business Administration or equivalent experience

Essential Registrations:

* Current Working with Children Blue Card.
* Current valid Queensland, Open, C class driving licence.
* Right to Work (Australian/New Zealand passport; Australian/New Zealand Birth Certificate or Citizenship Certificate or Passport and Visa)

Position Summary

Provide essential administrative assistance to the Business Administrator to ensure accurate and timely data recording and administration of the organisation\'s finance, operational management, quality management and human resources functions.

Key Requirements

It is a genuine occupational requirement of this position that it be filled by a woman as permitted by, and arguable under Sections 25, 104 and 105 of The Anti-Discrimination Act 1991. First Nations women are encouraged to apply.

* Administration and Financial Support Experience: including proficiency in data entry and financial processing using accounting systems such as MYOB.
* Human Resource Administration Experience: ability to support HR functions including assisting with new staff onboarding and inductions, requiring strong planning and organising skills with a strong focus on confidentiality.
* Operational and Property Management: Experience in maintaining registers for property, work health and safety and quality and continuous improvement. Ability to liaise with contractors to maintain organisational assets.
* Strong interpersonal skills with the ability to provide reception support, managing sensitive face to face and phone enquiries and gather accurate data.
* Able to demonstrate an understanding and commitment to feminist principles and social justice and a strong cultural awareness of Aboriginal and Torres Strait Islander peoples and people from culturally diverse backgrounds.

The North Queensland Combined Women's Services Inc (NQCWS) known as The Women's Centre operates from a broad feminist perspective and is welcoming of all women. The Women's Centre recognises that the sociopolitical environment has a direct influence on the experience of women in society; and further considers the intersections of power and privilege and how this shapes the diverse experiences of women and their access to opportunities and resources. The Women's Centre embraces a strong commitment to social and political change to support the safety and wellbeing of all women.

The Women's Centre offers a Specialist Homelessness Service, a Women's Health Service and the Townsville Sexual Assault Support Service which is a key partner within the Sexual Assault Response Team – Townsville Region. The Women\'s Centre provides trauma and violence informed therapeutic counselling, crisis support, holistic and practical case management support, advocacy, information and referrals to other appropriate services and therapeutic and social inclusion groups. Services offered may be centre based, mobile, outreach and/or co-located in other locations as appropriate.

The Women's Centre aims to promote meaningful personal, social and political change by validating women\'s experiences, advocating for women\'s rights and working towards the prevention of gendered violence through awareness raising, community education and social action.

* Employees also may be required on occasion to work outside ordinary hours.

Responsibilities

* To demonstrate an understanding and commitment to social justice and feminism and to foster an environment dedicated to the celebration and promotion of feminist principles.
* To work towards achieving the general aims of NQCWS.
* To maintain a commitment to social justice issues.
* To preserve and maintain confidentiality and privacy.
* To attend to human resource and financial administrative matters as required.
* To maintain documents and administrative procedures in accordance with quality requirements.

Duties

Finance Administration

* Undertake accounting and payroll administration of the organisation through data entry into the MYOB accounting system.
* Support the HR & Finance Officer and Business Administrator in processing payroll, superannuation and PAYG.
* Carry out financial and online banking functions of the organisation under the supervision of the HR & Finance Officer and Business Administrator.
* Support the HR & Finance Officer in preparing financial records, including data entry, bank statements, reconciliations, cash receipts and payments journals, funding acquittals and grant ledgers.
* Support the Business Administrator and HR & Finance Officer in preparing for the Annual Audit.

Human Resource Administration

* Provide accurate and efficient record keeping of the organisation's human resource data and operations.
* Advertise vacancies, ensuring wide circulation and posting on websites and social media.
* Manage preparations for interviews and new employees, including data entry and filing, arranging interviews and preparing the resources and equipment for selection panels.
* Support the induction of new employees, ensuring inductions are documented and carried out in accordance with organisational requirements.
* Conduct the IT user access requirements of new employees and exiting employees in line with organisational policies and procedures.
* Support the HR & Finance Officer in maintaining accurate employee records.

Property

* Maintain the Property Register to record contents of the Centre for insurance purposes.
* Ensure appropriate use and maintenance of organisation's vehicles including induction, safety, servicing and maintenance.
* Assist the Reception/Administration Team to arrange housekeeping, catering and events coordination.
* Observe WH&S and collaborate with the Business Administrator to update SDS records for consumables used at the Centre.
* Update and maintain first aid kits and other WH&S resources for the Centre.

Quality Systems and Administration

* Contribute to the collection of monthly statistics for organisational purposes where required including data entry into the DSS Data Exchange database and other statistics required to meet funding reporting requirements
* Provide administrative support to the Business Administrator to develop and maintain policies and procedures in line with the Human Services Quality Framework.

Reception

* Provide back up support to reception when required.
* Attend to all incoming telephone calls, emails and women presenting at the Centre and gather accurate information for assessment.
* Notify appointment arrivals, cancellations and re-bookings in a prompt and timely manner.
* Provide information and referral as required to service users.
* Accurately record reception information on internal referral database (SRS).
* Record visitor, service user and staff contact statistical data.
* Support women to access the telephone and the computer.
* Oversee the security of the Centre, and conduct tasks to open and close the Centre when required.
* Participate as part of the Emergency Response Committee and respond appropriately to emergency situations.

Other

* Other administrative tasks as requested by the Business Administrator, CEO and/or Management Committee.
