Administration & Digital Systems Officer
Join a passionate and professional team committed to growing the world game in Northern NSW. As our Administration & Digital Systems Officer, you'll be the go-to person for both front-of-house hospitality and first-level digital systems support.
In this full-time role, you'll manage key administrative tasks, coordinate travel and logistics, troubleshoot registration systems, and assist clubs, staff and stakeholders with helpful, hands-on digital training and tools. Your work will help drive smooth operations and enable thousands of people to experience football more easily and more often.
Core Responsibilities:
Be the First Point of Contact:
• Deliver a warm, professional front-of-house experience for visitors, staff and partners.
• Manage incoming calls, emails and general enquiries with clarity and care.
• Maintain a tidy, welcoming and well-organised reception and meeting space.
Keep Things Running Smoothly:
• Provide administrative support across teams: filing, scanning, mail, supplies, and general coordination.
• Book and reconcile travel, process vehicle allocations, and support finance processes via Xero.
• Assist with general office upkeep and basic banking tasks.
Support Events and Operations:
• Support the delivery of meetings, events and competitions with planning, set-up and logistics.
Champion Digital Systems:
• Provide first-level support for national football platforms including PlayFootball, Squadi and others.
• Develop and deliver clear, engaging training sessions and disseminate help guides for staff, clubs and volunteers.
• Support data collection, analysis and reporting to support football participation and planning.
• Represent NNSWF at key workshops, webinars and forums on digital systems.
• Contribute to multi-team projects aligned to NNSWF's Strategic and Operational Plans.
• Be available for occasional travel or weekend work where program needs require it.
What You'll Bring:
Essential Experience & Skills:
• Frontline or reception experience in a customer facing environment
• Office administration and coordination experience
• Clear and friendly communication skills - written and verbal
• Proficiency in MS Office (Word, Excel, Outlook)
• Confidence working with online platforms, user accounts and data
• Working knowledge of PlayFootball, Squadi or similar systems
• Experience using XERO or other accounting/reconciliation tools
• Experience delivering user training or digital support
• Background in sport, clubs, or community based organisations
