The Administrative Support Specialist role involves providing high-level administrative support to executives. This position is responsible for managing calendars, coordinating meetings and travel, handling communications, and ensuring smooth operations across the executive's areas of responsibility.

* Main Responsibilities:
* Manage executive calendars, including scheduling meetings, appointments, and travel
* Coordinate logistics for internal and external meetings
* Screen and prioritize incoming communications (emails, calls, and messages)
* Prepare documents, reports, and presentations for meetings and executive briefings
* Handle complex travel arrangements, including flights, accommodations, and itineraries, and process expense reports

Key Skills:

* Administrative Support:
* Act as the primary liaison between the executive and internal or external stakeholders
* Draft, review, and send communications on behalf of the executive
* Facilitate communication between the executive, departments, and leadership teams

Operational & Project Support:
">
* Track key tasks, timelines, and deliverables to support project management
* Assist with preparing leadership reports and data summaries
* Provide administrative support for HR or finance-related processes (e.g., approvals, onboarding, vendor coordination)

Office & Team Support:
">
* Onboard new team members or interns supporting the executive's area
* Manage executive's contact lists and CRM systems
* Support executive's team with other general administrative tasks
* Performs other related duties as assigned by management

Requirements:
">
* High school diploma or equivalent required; associate's or bachelor's degree preferred
* 5+ years of administrative experience supporting executive-level leadership
* Proficiency in Microsoft Office Suite and Google Workspace
* Excellent written and verbal communication skills
* Strong organizational skills and attention to detail
* Ability to handle confidential information with discretion
