Sub‑School Assistant/Accounts Payable ES1-2 – 0.8 FTE Fixed Term Family Leave

Role

An education support class position at this range carries out tasks in accordance with guidelines, accepted practice and school policy under supervision and direction. The role may include coordination of other education support staff, supporting teachers, and maintaining essential administrative processes.

Certification and/or qualifications of up to three years can be required at this level. The role may include: specific support tasks, assistance to teachers, health and wellbeing support tasks, or technical tasks requiring sound knowledge of basic principles.


Responsibilities

* Provide routine clerical or administrative support responsibilities including general telephone, front‑office enquiries, mail deliveries, stock control, and meeting coordination.
* Maintain, enter and retrieve data from the school's IT systems, such as the school's records system.
* Maintain office records, enrolment data, diary records, and basic written records.
* Support or coordinate the preparation of standard routine internal and external communication (e.g., form letters, newsletters).
* Source basic data or factual information from given sources to support school administrative functions.
* Coordinate the delivery of administrative services within the school.
* In consultation with the principal, determine and manage work priorities within the school office.
* Develop and implement strategies to ensure effective administration procedures.
* Coordinate the implementation of requisitioning, purchasing and issuing procedures.
* Manage client reception and office operations.
* Liaise with school staff regarding support requirements.
* Coordinate staff timetabling.
* Undertake VASS and/or VET administration support.
* Provide first‑aid facilities and assist in delivering first aid to students.


Position Description

* Carry out allocated activities and tasks determined by Year Level Coordinators and Director of Middle School.
* Participate in planning and preparation with teacher teams in the Sub‑School on a regular basis.
* Record and follow up all student absences on a daily basis according to school policy.
* Maintain an orderly environment, including communication to staff, monitoring of office resources, and event organisation.
* Process invoices from start to end following DET guidelines.
* Operate Compass and Cases systems.
* Monitor due dates to ensure timely payment.
* Maintain accurate records to ensure compliance for auditing purposes.
* Assist Business Manager and office team as required, including first aid.
* Work independently within the scope of the role.

This Sub‑School Assistant/Accounts Payable position aims to complement educational support provision within the College.


Conditions of Employment

This vacancy is to replace an employee on parental absence and is for a period of seven years or until the employee on leave returns to duty at the school.
