We are seeking a highly skilled and experienced Administrative Assistant to support the day-to-day operations of our Sydney office. The ideal candidate will have strong administrative and organisational skills, as well as excellent communication and interpersonal abilities.

* Welcoming visitors and directing enquiries with warmth and professionalism
* Answering phone calls and managing messages efficiently
* Providing reception, mailroom, and guest services
* Assisting with meeting and event organisation, room bookings, and AV setup
* Supporting document management and record-keeping
* Liaising with internal and external stakeholders as required


Key Responsibilities:

The successful candidate will be responsible for:

* Administration and Organisation: Providing administrative support to the team, including data entry, filing, and maintaining accurate records.
* Communication and Liaison: Communicating effectively with colleagues, clients, and other stakeholders, both verbally and in writing.
* Event Management: Coordinating meetings, events, and conferences, including booking rooms, arranging catering, and preparing materials.
* Document Management: Managing and maintaining accurate and up-to-date records, including files, databases, and other documents.
* Customer Service: Providing exceptional customer service to visitors, clients, and other stakeholders, responding to queries and resolving issues promptly and professionally.


Requirements:

To be successful in this role, you will need:

* Administrative Skills: Strong administrative and organisational skills, including proficiency in Microsoft Office.
* Communication Skills: Excellent written and verbal communication skills, including the ability to communicate effectively with colleagues, clients, and other stakeholders.
* Teamwork: A proactive, can-do attitude, with a strong team ethic and the ability to work collaboratively with others.
* Time Management: The ability to manage multiple tasks and meet deadlines, prioritising work effectively and maintaining accurate records.
