Job Description
We are seeking a highly organised and customer-focused Client Services Officer to join our team in Malaga, WA. This role is responsible for supporting operational and administrative activities, ensuring the accurate preparation of documentation, coordinating with internal teams, and maintaining strong relationships with clients. The successful candidate will play a key role in ensuring inspections, reporting, and invoicing processes are completed efficiently and in line with company procedures and global standards.
Key Responsibilities include, however not limited to:
* Prepare associated worksheets and supporting documentation for inspections and operational activities.
* Prepare and issue deliverable documents in accordance with global standards, procedures, and management instructions.
* Use Oracle/BOSS systems to create Order Confirmations on Sales Orders and assist with frontloading activities.
* Liaise with the Finance Billing team regarding invoicing, distribution of invoices, and support monthly financial reconciliations.
* Assist the Branch Manager in preparing monthly forecasts.
* Maintain positive and professional relationships with clients, staff, and other company branches.
* Ensure NR Inspections work that does not require field engagement is received, recorded, and reported in a timely manner in coordination with Coordinators and Commodity Managers.
* Liaise closely with laboratory staff to ensure samples are submitted promptly and results are received within expected timeframes.
* Prepare documentation for and assist in hosting internal and external audits.
* Ensure timely submission of inspection reports, paperwork, and full shipment details as required by clients.
* Coordinate with team members to organise and maintain up-to-date documentation required for Global OI statistics, including training records, Take 5s, fatigue management records, and mileage documentation.
Qualifications
* Understanding of inspection processes and purposes.
* Knowledge of Quality Systems and compliance requirements.
* Strong computer skills, including Microsoft Office Suite and Oracle systems.
* Ability to prepare clear and accurate written reports and documentation.
* Awareness and understanding of Occupational Health, Safety & Environment (OHS&E) practices.
* Excellent communication and interpersonal skills.
* Strong organisational skills with the ability to manage multiple tasks and meet deadlines.
