About the role
An excellent opportunity exists for an experienced and organisedHealth, Safety and Risk (HSR) Administrator and Document Controllerto join our team at our Ironbark No.1 operation.
This role is responsible for providing comprehensive administrative support to the Health, Safety and Risk (HSR) department and broader operational teams, with a strong focus on document control and compliance reporting.
Key Responsibilities include
Perform general Health, Safety, and Risk (HSR) administrative duties, including coordinating meetings and appointments, scribing minutes (including risk assessments and procedures), preparing documents, collating entering data and statistics, finalising reports, and managing day-to-day office operations.
Actively engage and participate in all surface and underground interactive Health and Safety activities that promote visibility, collaboration, and continuous improvement.
Support internal incident investigation meetings (HPI/HRI) through scheduling, gathering and formatting of documentation.
Conduct confidential drug and alcohol testing and resfit/earfit testing as required.
Assist with water and hygiene sampling as required.
Prepare and compile internal and external HSR reports, including:
Monthly and quarterly RSHQ Census reports
Ironbark HSR daily, weekly, and monthly reporting
Daily SISPAV action status reports
Support the maintenance and management of the Safety and Health Management System (SHMS) by ensuring documentation was up-to-date, compliant with relevant standards/legislation, and consistently formatted using standardised naming conventions.
Monitor document review periods, manage uploads, and optimise document search functionality via SharePoint.
Monitor document review cycles, managed uploads, and enhanced search functionality within SharePoint to ensure efficient access, version control, and compliance with documentation standards.
Conduct regular audits of Safety and Health Management (SHM) documentation and ensure ongoing compliance.
Monitor critical control schedules and track action items using SISPAV systems.
Assist with departmental communications to personnel such as toolbox talks and notice boards.
Assist in Cross-Department collaboration with HSR integration by initiating communication, and understanding of departmental tasks, information gathering and data entry.
About You
Demonstrated adaptability to change and flexibility with the workplace by adjusting to shifting priorities and new processes, maintaining productivity, collaborating effectively across teams, learning new skills effectively and remaining resilient during organisational transitions.
Demonstrated experience in an administrative capacity, preferably within a health, safety, or compliance-focused environment.
Strong understanding of document control systems and SharePoint functionality.
Excellent written and verbal communication skills, with strong attention to detail.
Proficiency in report collation and data accuracy across multiple platforms.
Proven ability to manage sensitive information with discretion.
A proactive, adaptable approach and the ability to work both independently and collaboratively.
