Frost Air Conditioning requires an energetic and motivated person to work in their office at Castle Hill.
Full Time Permanent role.
Monday to Friday with a 7.00am start.
Position involves but is not limited to the following tasks:
First point of contact for installation enquiries.
Book new jobs in with customers.
Answer installation / warranty phone calls & overflow calls from other departments.
Manage daily run sheet, ensure schedule is accurate.
Book warranties in with the assistance of the Install Admin Assistant.
Update the NSW Energy Savings bookings in the Apps with assigned sub-contractor, date & time for upcoming installations.
Organise site inspections for new jobs for office staff & sub-contractors as required.
Quote extra work required during the installation or after site inspection.
(To be authorised by General Manager or Installations Manager).
Resolute incomplete or follow up required installations.
Process warehouse paperwork for upcoming installations at least 4 or 5 days in advance.
Send work orders to sub-contractors at least 4 or 5 days in advance.
Order materials for upcoming jobs 4 or 5 days in advance.
Order hire equipment for necessary jobs.
Assign all units & materials to jobs through Simpro.
Assign & unassign materials on Simpro from stock issue/return forms.
Review new approved jobs to ensure all materials are correct.
Organise urgent deliveries to site.
Collect payments from customers.
Follow up on overdue payments.
Process job cards to be fully invoiced to accounts.
Approve supplier invoices to match our purchase orders.
Update debtors list with new unpaid debtors and remove debtors that have been fully paid.
Liaise with warehouse staff to ensure units allocated for jobs are picked accurately.
Confirm all the current week jobs are all fully invoiced & whether there is an issue or no issue.
(To be completed on Friday every week)
Assist General Manager & Installation Manager with any other work that may be required.
Assist other departments as required.
At all times, project the company's image in a professional and diligent manner.

Due to nature of business no holidays allowed during our peak season (November - February) apart from Company shut down over Christmas & New Year period.
Prefer someone looking for a long term stable role.
