About the role
The Humanitarian Diplomacy Coordinator supports delivery of humanitarian diplomacy tactics and events, and provides vital coordination and administrative support to ensure the effective functioning of the Humanitarian Diplomacy & Policy team. The role manages the diary and travel arrangements of the Head of Humanitarian Diplomacy & Policy, provides external scheduling support for the Engagement and Humanitarian Diplomacy teams including coordination of key activities and events across the functions. The role additionally provides coordination for the organisation’s policy submission process, ensuring submissions are tracked, reviewed, and delivered on time.
Day to day you will
- Support the planning, logistics, and delivery of humanitarian diplomacy and engagement events, including briefings, roundtables, workshops, and public forums.
- Provide high-level administrative support to the Head of Humanitarian Diplomacy & Policy, including diary, travel, and correspondence management, and support Government Engagement and Humanitarian Diplomacy teams with external stakeholder diary scheduling and meeting coordination.
- Coordinate the organisation’s policy submission process, ensuring submissions are tracked, quality-assured, and delivered on time, with clear communication across teams.
- Maintain accurate records of stakeholder engagement, meetings, and submissions, ensuring effective follow-up and organisational learning.
- Liaise with internal stakeholders across policy, engagement, media, programs, and state/territory operations to support coordination and alignment.
What you will bring
- Experience providing administrative, coordination, or project support in a complex organisation including extensive diary and travel management for senior leaders.
- Event and meeting coordination skills, including logistics, scheduling, and supporting high-level stakeholder participation.
- High level of proficiency with Microsoft Office and digital collaboration tools (e.g., Teams, Outlook, SharePoint).
- Proven ability to work collaboratively as part of a team and build trusted working relationships across diverse stakeholders.
