Gepard Supply Chain is a dynamic and growing logistics and supply chain solutions provider. We specialize in delivering seamless end-to-end services, including freight forwarding, customs clearance, and warehouse management. As we continue to expand our operations, we are seeking a highly organized and proactive Office Manager to ensure our administrative engine runs as smoothly as our logistics network.

The Role

We are looking for a professional Office Manager to oversee our daily administrative operations. You will be the backbone of our SA office, supporting our management team and ensuring that all office systems, documentation, and communication channels are optimized for efficiency.

Key Responsibilities

* Administrative Oversight: Manage daily office operations, including mail, supplies, facilities maintenance, and vendor relationships.
* Documentation & Compliance: Maintain accurate filing systems for shipping documents, contracts, and corporate records in line with industry regulations.
* Financial Support: Assist with basic bookkeeping tasks, processing invoices, and managing expense reports using accounting software (e.g., Xero or MYOB). A certificate of bookkeeper or BAS lodgement would be bonus.
* HR Coordination: Assist with staff onboarding, maintaining personnel records, and coordinating internal schedules and meetings.
* Process Improvement: Identify bottlenecks in office workflows and implement digital or procedural solutions to enhance productivity.
* Reporting: Prepare weekly and monthly administrative reports for the Senior Management team.

Selection Criteria

* Education: A Diploma or higher qualification (preferably in Business Administration, Finance Management, or a related field).
* Experience: A minimum of 2 years of relevant experience in an office management or senior administrative role. Experience within the logistics or supply chain industry is highly regarded. Wine Industry experience is bonus.
* Technical Skills: Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and experience with cloud-based management systems.
* Communication: Exceptional written and verbal English and Mandarin communication skills, with the ability to liaise effectively with international partners and local stakeholders.
* Organisation: Proven ability to multitask, prioritize high-volume workloads, and meet strict deadlines in a fast-paced environment.
