Fleck Group is a rapidly growing plant hire company servicing projects across Greater Sydney and NSW. With an expanding fleet of excavators, dumpers, rollers, posi tracks, and construction equipment, we are seeking an experienced Allocations Manager to take ownership of the daily deployment and coordination of our fleet.
This role sits at the core of our operations and plays a critical part in ensuring machines, operators, and transport are deployed efficiently across multiple sites.
Due to the nature of the industry, this role can involve long hours during peak periods, and we are specifically seeking someone who already understands the demands of plant hire operations and fast-paced civil projects.
Applicants must have previous experience in plant hire allocations, fleet scheduling, or civil plant coordination.
The Role
As the Allocations Manager, you will be responsible for managing the daily scheduling and allocation of plant, equipment, operators, and transport across multiple job sites.
You will work closely with clients, operators, mechanics, transport providers, and internal administration teams to ensure jobs run efficiently and machines are utilised effectively.
This is a high-responsibility operational role requiring someone who can problem solve quickly, manage competing priorities, and remain organised under pressure.
Key Responsibilities
* Daily allocation and scheduling of plant, equipment, and operators across multiple sites
* Coordinating excavators, dump trucks, rollers, posi-tracks, water carts and support equipment
* Managing incoming job bookings and client requests
* Ensuring the correct machine size and attachments are allocated to suit site requirements
* Organising float trucks and transport logistics for machine mobilisation and demobilisation
* Managing fleet availability, utilisation and machine movements
* Coordinating urgent breakdowns, machine swaps and last-minute site changes
* Communicating daily job details, site contacts and requirements to operators
* Ensuring operators are compliant with site requirements and inductions
* Working closely with the workshop team regarding servicing schedules and machine availability
* Updating our online scheduling system with live updates
* Monitoring GPS tracking and fleet movement systems
* Maintaining accurate records within allocation and fleet management systems
* Supporting the accounts team with accurate allocation information for invoicing
* Maintaining strong working relationships with clients and subcontractors
* Managing high volumes of phone calls and job requests daily
* Ensuring clear communication between operators, management and clients
About You
To be successful in this role, you must have proven experience in plant hire allocations or fleet scheduling.
The ideal candidate will have:
* Previous experience in an Allocations Manager, Fleet Scheduler, or Plant Coordinator role
* Experience within plant hire, civil construction, or earthmoving companies
* Strong knowledge of earthmoving machinery and plant equipment
* Understanding of machine sizes, attachments and site requirements
* Strong organisational and time management skills
* Ability to manage multiple jobs and competing priorities simultaneously
* Strong problem-solving skills and ability to think on your feet
* Ability to perform well in a fast-paced, high-pressure environment
* Experience coordinating operators, subcontractors and transport logistics
* Excellent communication and client relationship skills
* Strong attention to detail and operational awareness
