Overview
Role Purpose: The Assistant Operations Manager provides comprehensive support to the Operations Manager and the entire team, ensuring the seamless functioning of all operational elements within the centre. This role maintains and upholds the highest standards of safety, compliance, cleanliness, emergency preparedness, and operational efficiency, while fostering a professional and welcoming environment for staff, contractors, retailers, and customers.
Key Accountabilities
* Administration Responsibility
o Support operational contracts, realise optimum value for expenditure, maintain quality contract documentation, conduct monthly KPI reviews with action plans, manage maintenance logs, and participate in contract renewal activities.
* Operational Management
o Assist the Operations Manager in day-to-day supplier and contract management (security, cleaning, HVAC, vertical transport, etc.), ensure safety through emergency management procedures, support building presentation standards, maintain risk register awareness, aid in capital project delivery, and support environmental, social and governance initiatives.
* Retailer & Stakeholder Management
o Respond to retailer feedback on operational issues, grow positive relationships with internal and external stakeholders (contractors, emergency services, local council, internal staff), coordinate onboarding for recent tenants, and ensure a positive shopping experience.
Key Role Relationships
* Retail Managers – Maintain strong communication to address tenants' operational needs and resolve issues.
* National Operations – Attend scheduled meetings to stay informed on tenders, new contractor information, and capital updates.
* Major Contractors – Foster relationships with key contractors to optimise performance and coordination.
* Local & Emergency Services – Establish effective relationships with police, fire, ambulance and local council for emergency support.
* Tenant Delivery Team – Coordinate with the tenancy delivery team on tenant onboarding and issue resolution.
Experience & Capabilities – Essential Experience
* Track record of positive outcomes through team leadership.
* Operations field experience, exposure to retail and mixed-use assets, budget contribution.
* Managing complex building services including cleaning and security contracts.
* Delivered projects on time and within budget.
* Experience with risk register and HSE audit documentation.
* Support for Annual Safety Measures Certification and emergency management.
* Implemented sustainability programmes to minimise utility usage.
Experience & Capabilities – Critical Knowledge
* Contractor management through permits and compliance.
* Project budgeting (Excel), lifecycle planning, and short-term expenditure plan development.
* Proficiency in MS Office.
* Short-term and ad-hoc maintenance programme planning for plant and equipment.
* Stakeholder relationship identification across internal and external parties.
* Administrative duties including performance reports and action plans.
* Strategic support and initiative delivery for best-in-class outcomes.
