Primary objective
The Executive Administration Assistant provides high‑quality executive and administrative support to the Executive Director,
DHIP and staff within the business unit, contributing to the effective coordination of activities and the delivery of DHIP
priorities.

Context statement
Infrastructure NT has been established to drive strategic infrastructure planning and development to achieve the NT
Government’s objectives for economic and population growth including social advancement. It provides evidence-based
advice to inform whole of government planning, decision making, policy and reform.

Key duties and responsibilities
1. Provide high‑quality administrative and secretarial support to the Executive Director DHIP, including maintaining

administrative systems to record, track, and monitor correspondence, reporting requirements, and other corporate
requests.

2. Provide high‑level executive support for the Executive Director’s calendar management, including scheduling,
prioritisation of appointments, and the management and coordination of multiple inboxes to ensure timely and accurate
responses.

3. Coordinate logistical arrangements for travel, meetings, corporate vehicle use, and facilities management, ensuring
compliance with relevant policies and procedures.

4. Prepare, distribute, and maintain records of agendas, minutes, meeting notes, routine correspondence, and reports,
ensuring accuracy, quality, and timely dissemination.

5. Assist with financial and procurement activities, including processing reimbursements, tax invoices, and payments
through NTGPay, and supporting general office coordination such as stationery and office requisites management.

6. Monitor and coordinate mandatory training and staff induction processes, and undertake other administrative tasks as
required to support the effective delivery of the business unit’s functions.

Selection criteria
Essential
1. Ability to provide high‑quality administrative and secretarial support to senior management, including organising and

coordinating day‑to‑day requirements, diary management, and maintaining effective communication.
2. Proven experience undertaking a broad range of administrative functions, including effective use of computer

applications such as word processing, spreadsheets, email, and electronic record‑keeping systems.
3. Strong organisational skills with a high level of attention to detail, accuracy, and thoroughness, particularly in managing

information flow, correspondence, and routine reporting requirements.
4. Demonstrated ability to exercise discretion and maintain confidentiality, while providing friendly, professional, and

efficient assistance with a strong client and customer service focus.
5. Proven ability to manage competing priorities and meet deadlines, including coordinating information and supporting

reporting and business unit processes in a fast‑paced work environment.
6. Ability to communicate and interact effectively with a diverse range of stakeholders, including people from diverse

cultural backgrounds, and to work collaboratively within a team environment.
