Executive Assistant (SES Support) APS5 - Security Clearance: NV2 Required upon applying - Ongoing
We are seeking a highly organised and motivated Executive Assistant to provide high level executive support to senior leadership within a fast paced environment. This is a critical role requiring discretion, sound judgement, and the ability to manage competing priorities with minimal supervision.
Key Responsibilities
* Provide comprehensive executive support to two SES officers, including:
o Complex diary management and appointment coordination
o Travel coordination in line with departmental policies
o Preparation of meeting packs and briefing materials
o Organisation of meetings and events
o Management of tasking and correspondence workflows
o Acquittal of travel and processing of financial transactions
o General administrative support as required
* Provide additional executive support to other SES officers as needed
* Manage document flow, correspondence, and records using EDRMS
* Process financial transactions and reporting, including travel, using SAP in accordance with financial delegations, policies, and procedures
* Operate with discretion and sound judgement when managing workflow, visitors, and sensitive information
* Liaise effectively with internal and external stakeholders
* Work collaboratively across branches and divisions to support business outcomes
* Communicate professionally and effectively with stakeholders at all levels
About You
You are a proactive and highly organised professional who thrives in a dynamic, high-volume environment. You are confident managing multiple diaries and reprioritising tasks in response to changing priorities.
You will demonstrate:
* Proven experience providing executive support at a senior level
* Strong organisational and time management skills
* Excellent interpersonal and communication skills
* Ability to exercise judgement, initiative, and discretion
* Capacity to anticipate needs, identify issues, and develop practical solutions
* Commitment to maintaining confidentiality and adhering to professional conduct standards
* Ability to think strategically and align work priorities with broader business objectives
Technical & Knowledge Requirements
* Advanced knowledge of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
* Experience using EDRMS
* Experience processing financial transactions using SAP
* Understanding of governance, financial delegations, and policy frameworks
