About the organisation

Jenny's Place is a values-driven, not-for-profit organisation committed to supporting women and children who are experiencing domestic, family and sexual violence (DFSV), and homelessness or at risk of homelessness.

We provide safe, respectful, and trauma-informed services through our many programs including; crisis accommodation, supported transitional accommodation, outreach homelessness support, specialist workers - children and young people, and the Newcastle domestic violence resource centre.

Our passionate team is committed to keeping women and children in our community safe, housed and free from violence. We seek to empower women through compassion, equality, courage and collaboration.

About the opportunity

We are seeking a motivated, organised and compassionate Operations Administrator. This role is for someone who enjoys working in a fast-paced environment, has strong attention to detail, and takes pride in providing high-quality administration support.

This role is critical in ensuring smooth day-to-day operations while maintaining confidentiality, professionalism and sensitivity. The successful candidate will be the first point of contact for the organisation and will play an important role in supporting both staff and clients.

Key responsibilities include

* Provide general administrative and clerical support to the Chief Executive Officer and the Business Operations Manager
* Support the Business Operations Manager with procurement functions
* Coordinate the scheduling of board meetings, document preparation, minute taking and follow up actions
* Manage all incoming phone calls with confidentiality and direct them to the appropriate teams
* Maintain accurate and confidential records, databases, and filing systems
* Support internal teams with ad hoc administration tasks
* Manage data entry and reporting requirements
* Support compliance with organisational policies and funding obligations

About You

* Previous experience in an operations administrative role (community services experience highly regarded)
* Strong organisational and time management skills
* Excellent written and verbal communication skills
* High level of attention to detail and accuracy
* Proficient in Microsoft Office (Word, Excel, Outlook), BoardPro and client management systems
* Certificate IV in Business Administration or equivalent qualification and experience

Mandatory Requirements

* This role is designated for a female under section 31 of the Anti-Discrimination Act
* A current NSW Driver's Licence
* Current Working with Children's Check (WWCC)
* A National Criminal History Check (police check)
