Receptionist/Administration Assistant – Make The Time

Make The Time is dedicated to inspiring and guiding young people of all ages to reach their full potential. We provide NDIS support, school-based mentoring, and group programs that foster personal growth, confidence, and positive life choices.
We are seeking a proactive and empathetic Administration Assistant to join our team. This is a key role, providing the first point of contact for clients, while also supporting our team with administrative, compliance, and communication tasks that keep our services running smoothly.
Key Responsibilities
* Greet clients and respond to phone and email enquiries in a professional, friendly manner
* Provide high-level administrative support, including managing correspondence, records, and scheduling
* Assist with NDIS participant onboarding, service agreements, and compliance documentation
* Support staff with rostering, timesheets, and liaison with payroll providers
* Maintain accurate data entry and reporting within NDIS and internal systems
* Process invoices and assist with financial administration
* Help manage social media posts and updates to support engagement and communication
* Contribute to improving office systems and processes to support efficiency
About You
We're looking for someone who is organised, approachable, and thrives in a fast-paced, people-focused environment. You'll bring strong attention to detail, excellent communication skills, and a commitment to supporting positive client outcomes.
What we're looking for:
* Previous administration and customer service experience, ideally within disability, community services, or the NDIS sector
* Strong organisational and time management skills, with the ability to manage competing priorities
* Clear and confident communication skills, with a people-first approach
* Familiarity with NDIS compliance, rostering systems, and record-keeping (highly regarded)
* Comfort with basic social media use and content posting
* Commitment to person-centred practice and supporting participants to achieve their goals
Requirements

* Reliable car and driver's licence
* WWVP (Working With Vulnerable People) card
* First Aid Certificate (desirable)
