The Executive Assistant is a 12-month temporary full-time assignment supporting the Executive Leadership team of Tamboran. This role will be located in either our Brisbane or Sydney office and will work closely with the CEO, COO, and CFO along with other team members. The ideal candidate will have demonstrated capabilities gained from working in a multi-national fast paced corporate office.
Roles and Responsibilities
* Manages multiple calendars of meetings, travel accommodations and itineraries including domestic and international, and work plans, including prioritising conflicting needs and handling matters expeditiously;
* Liaising with internal and external stakeholders (executive level professionals and those in executive support roles) to ensure coordination and scheduling of activities;
* Anticipates needs with regard to preparation of agendas and documentation for regular management meetings; drafting, creating, editing, proof reading materials;
* Prepares responses and responds, as appropriate, to written and verbal correspondence and calls;
* Maintains day to day office administration including supplies, equipment, phones and IT issues across 3 office locations within Australia;
* Plans, coordinates, and manages group meetings in the office and offsite as required;
* Assists with finance management, including support with preparing expense reports and tracking international travel and tax support;
* Acts as Receptionist to greet external parties and coordinate group meetings;
* Assists HR with onboarding new hires, exiting leavers and any transfers within the team;
* Maintains discretion and confidentiality of all information and relationships with all stakeholders and matters; and
* Assists with other special projects as directed.
Preferred Minimum Candidate Requirements
* Degree in Secretarial or Business studies is preferred;
* 7+ years demonstrated success in a previous executive administrative position in a very active organization; energy environment is preferred;
* Advanced MS Office & Office 365 skills (Outlook Calendar, Excel, PowerPoint);
* Proactive, strong sense of urgency, responds quickly and possesses excellent follow-through skills;
* Ability to use discretion and maintain confidentiality is paramount;
* Attentive to detail, ability to maintain a flexible and resourceful approach to effectively multi-task and manage workload;
* Experience planning events, including support for large meetings, off-sites and site events;
* Communicates clearly at multiple levels and with diverse audiences;
* Professional, approachable, customer centric in nature;
* Possesses strong organisation and prioritisation skills;
* Demonstrates a solution focused mindset;
* Flexibility to travel to offsite meetings as required.
* Flexibility to provide support during non-standard business hours to assist with international travel or calls.
