Clearance Requirements: National Background Check with Inquiries, Fingerprints, and Drug
Type of Employment: Full-Time, 40 hours per week, 10 hours per day, Monday through Thursday.
Estimate Pay: $25.29 – $30.38 per hour.
Paid Time Off: Up to 80 hours per year, which starts accruing on the day of hire.
Sick Leave per Year: Up to 56 hours per year, which starts occurring on the day of hire.
Working Hours
The Medical Records Administrative Support Assistant will normally work Monday through Thursday, 6:00 am to 3:00 pm, ten (10) hours per day, with a 30-minute unpaid lunch break, excluding Federal Holidays. The Medical Records Administrative Support Assistant will not work more than 40 hours a week.
Summary of Duties
The Medical Records Administrative Support Assistant will provide essential clerical, organizational, and data‐management support to the Health Services Department at Federal Correctional Institute-Cumberland, ensuring the accuracy, security, and accessibility of inmate medical records and financial documentation. This role supports daily clinical operations by maintaining comprehensive medical and dental files, preparing documentation for audits and legal processes, managing financial data entry and reporting, and assisting staff with record retrieval for medical care, call‐outs, and administrative needs. Working in a correctional environment, the assistant upholds strict confidentiality, adheres to established procedures, and contributes to the institutions medical records and financial workflows' overall efficiency and compliance.
Qualifications
* Process a High School Diploma or equivalent.
* No record of employment terminations in the past five (5) years.
* Have a basic understanding of human anatomy and physiology and understand medical terminology.
* Possess basic computer skills and have experience with computer data entry.
* Medical terminology and/or data entry college courses or certification are preferred but not required.
* Must be Cardio-Pulmonary Resuscitation (CPR) certified either by the American Red Cross (ARC) or the American Heart Association (AHA).

Attire
The contractor is expected to wear professional clothing while on duty (scrub uniforms are approved). No khaki, orange, or green scrubs. The attire worn shall also be appropriate for the correctional environment in which the contract employee will be performing.
Duties and Responsibilities
* Perform filing of various medical reports, laboratory studies, x-rays, etc., in the medical records of inmates daily.
* Pull inmate medical files for sick call and call‐outs daily as listed on the call‐out sheet.
* Pull inmate medical files for physicians, clinical staff, and contractors daily.
* File inmate medical records and documentation in medical and dental records.
* Copy information from inmate files as listed on the waiting list.
* Review medical files for inappropriate filing.
* Copying various records necessary for Freedom of Information Act compliance,
* administrative tort claim investigations, and litigation use.
* Tracking and maintaining litigation files.
* Organization and accountability for medical records.
* Assist in internal and external audits.
* Participating in the IOP program.
* Follow several specific procedures in completing several repetitive clerical steps performed in a prescribed or slightly varied sequence
* Entering medical financial data into the data computer within the Health Services Department.
* Reviewing all accounts payable and invoices relating to the Medical Department for accuracy and verifying that billing was appropriate.
* Comparing accounts payable invoices with contract fee schedules to ensure appropriate discounts for medical care were provided.
* Compiling financial statistical data for reports to the Regional and Central offices when requested by the Health Services Administrator.
* Providing scheduled written financial reports for the Health Services Department.
* Preparing computerized financial payment records, tracking, and posting financial expenditures of the Medical Department.
* Provide a monthly billing statement to the Health Services Administrator that accurately reflects the days of each visit, the number of hours or sessions of each visit, and the total dollar amount due for the month's services.
* Duties will include working on the Unified Financial Management System (UFMS) and the Justice Enterprise Data Interface - Next Generation (JEDI-NG) for financial duties once proper training has been completed.
