As a leader in chilled and frozen food storage and distribution, Sands Fridge Lines is seeking an experienced Fleet Admin Officer – Parts to join our growing Forrestfield operation.

This role is well suited to a detail‐driven, safety‐focused Administrator who enjoys working in a fast‐paced workshop environment and being a key support to fleet maintenance operations.

The Role

Parts Coordination & Inventory Management

* Coordinate parts requirements to support daily workshop operations
* Order parts in line with maintenance schedules and operational needs
* Maintain accurate records of parts inventory, usage, and stock levels
* Ensure high‐turnover parts are readily available while minimising low‐turnover stock
* Perform regular stocktakes and support reconciliations of workshop parts, tools, and supplies

Supplier & Internal Liaison

* Liaise with workshop, fleet, and operational teams to confirm parts requirements and timeframes
* Communicate with suppliers regarding availability, pricing, delivery times, and backorders
* Follow up on parts orders and resolve delays or shortages
* Work with the Workshop Manager to ensure competitive pricing on parts and servicing

Administration & Reporting

* Complete accurate data entry and process invoicing
* Communicate job updates, follow-ups, and delays to relevant stakeholders
* Support Fleet Maintenance Managers to maximise vehicle uptime and fleet readiness
* Apply strong problem‐solving skills and attention to detail in daily decision‐making

About You

* Proven experience in fleet administration, fleet coordination, or transport administration
* Exposure to fleet maintenance or asset management systems
* Strong organisational skills with the ability to manage competing priorities
* High attention to detail with a strong focus on data accuracy
* Confident communicator able to liaise effectively with internal teams and suppliers
* Comfortable working in a workshop environment
* Ability to work under pressure and meet deadlines
* Current Australian Driver's Licence
* Ability to obtain a National Police Clearance
* Ability to pass a pre‐employment medical
