Pharmacy Administration Officer - Targeted role. This position is Permanent Full Time with a Remuneration of $72,285.58 - $73,940.16 plus 12% Super and Salary Packaging. Hours per week: 38. Location: John Hunter Hospital (On Site) | Awabakal Land. This targeted role is for Aboriginal or Torres Strait Islander people under section 21 of the Anti-Discrimination Act 1977. About The Role

Our pharmacy team delivers services to inpatients, outpatients, clinics, and healthcare facilities throughout Newcastle and across the wider Hunter Current England District. 
Responsibilities : 
- Provide comprehensive administrative and secretarial assistance to the Director of Pharmacy, including managing correspondence, scheduling appointments, coordinating meetings, and preparing reports, briefs, and other documentation. 
- Pharmacy Department Administration Coordination – oversee administrative functions, supervise the Pharmacy Administration Officer, manage shared reception duties, and ensure efficient office systems, procedures, and document management. 
- Handle pharmacy paperwork, maintenance requests, non-pharmaceutical billing, meeting organization, and mail processing. 
- Manage equipment registers, assist with staff recruitment and onboarding, WHS activities, rosters, leave, and payroll. 
- Support the Operational Deputy and provide secretarial duties for meetings, including video/teleconferencing facilities to support effective meetings. 
- Assist with Pharmacy human resources – Health Roster data entry and onboarding. 
About You 
- Proactive, qualified, and autonomous with the ability to deliver own workload and mentor junior administration staff. 
- Experience delivering high-quality administration services, ideally in health or a similarly complex environment. 
- Ability to work independently, exercise initiative, and solve problems without constant direction. 
- Strong IT skills with exposure to Sara, Health Roster, Oracle, payroll functions; executive support is highly regarded. 
- Demonstrated ability to manage competing priorities with attention to detail, accuracy, and organisational skills. 
- Effective communicator with the ability to build strong working relationships across multidisciplinary teams. 
- Great attention to detail, solid processes, strong organisational skills, and eagerness to learn; able to build rapport across campus services. 
- Acknowledgement that an eligibility list will be created for future vacancies; full-time position with possible part-time/ job-share arrangements.
