Executive Assistant to Chief Executive Officer
* We are currently recruiting for an experienced professional to join our client on a perm basis as an Executive Assistant to CEO.
* The role involves providing high-level executive support in a dynamic environment, handling multiple responsibilities, and ensuring seamless operations.
About the Role
You will be a trusted and critical member of the leadership team, handling administrative tasks, including record-keeping, meeting preparation, and document management.
Duties also include drafting correspondence for internal and external communications, managing the CEO's diary, scheduling priorities, organizing meetings, and preparing supporting documentation.
Facilitating Board, executive, and committee meetings, handling agendas, minutes, and action tracking is also part of this role.
In addition, you will coordinate travel arrangements for the CEO, Board of Directors, and subcommittees, and assist in the delivery of the Social Media Strategy alongside internal stakeholders.
Your Responsibilities
1. Provide high-quality administrative support to ensure efficient office operations.
2. Manage the CEO's diary, scheduling priorities, and organizing meetings.
3. Facilitate Board, executive, and committee meetings by handling agendas, minutes, and action tracking.
4. Coordinate travel arrangements for the CEO, Board of Directors, and subcommittees.
5. Assist in the delivery of the Social Media Strategy with internal stakeholders.
6. Manage expense reporting, reconciliation, and budget tracking.
Requirements
* A Diploma qualification in Administration, Business, Project Management, or relevant experience in Disability or Community Services.
* At least four (4) years' experience as an Executive Assistant, Personal Assistant, or similar role.
* Strong administrative, organizational, and time-management skills with proven ability to meet deadlines.
* Excellent written and verbal communication skills, including experience preparing board agendas, meeting papers, and reports.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and ability to quickly adapt to new software.
* Experience working with Aboriginal and Torres Strait Islander communities, with an understanding of cultural protocols.
* Ability to manage confidential information with discretion and integrity.
