About the Role:
The Trust Administrator plays a vital role in the efficient operation of our sales trust accounting and marketing payment processes. This role is ideal for someone with a strong administrative or finance background, high attention to detail and a desire to build a long-term career within the real estate and property sector.
Working within a supportive finance team, you will liaise with internal stakeholders and external parties, contributing to the smooth operation of our property marketing and trust accounting systems. You will enjoy stable office hours, a structured environment, and the opportunity to work in a hybrid model with work-from-home flexibility, after an initial onboarding period.
Key Responsibilities:
* Daily receipting and reconciliations of the Trust Account/s
* Prepare draft account sales and processing sales deposit transfer (S24, S27 and Settlements) in a timely manner
* Communicate, liaise and assist vendors, purchasers, legal representatives and sales agents and admins on all trust queries
* Assist and provide guidance to admin staff on all trust related matters and ensure processes are followed as per Marshall White standard and policy
* Maintaining records to meet legislative requirements and ensure compliance in accordance with the Estate Agents Act and Sale of Land Act
* Maintain the outstanding deposit report and ensure deposit is paid on time
* Assist with End of Month Roll over and End of month Reports
* Assist with weekly sales report to office directors
* Prepare commission sheet (Projects sale) and tax invoices to developer
* Weekly follow up on outstanding tax invoices with developer
* Support Trust team and relieve staff if required
* Maintain Trust database integrity
Key Qualifications, Skills & Experience:
* Experience in all aspects of Sales Trust Accounting for Real Estate
* Experience with Box + Dice software (training to be provided if required)
* Accurate data entry and high level of numeracy skills
* Computer and Internet (Microsoft Office, Intermediate to Advanced Excel, Outlook, Property Management software)
* Ability to communicate with a variety of stakeholders
* Team Player
* Multitasking skills and ability to prioritise workload
* Efficient and effective time management
