Bechtel is seeking a Document Management Lead for a part-time telework role based in Perth, WA. Requisition ID: 287008. This position may require business travel to project sites in Western Australia.
Major Responsibilities
* Oversee and coordinate document management activities and governance practices across the program of works
* Ensure consistency, compliance, and efficiency in managing all project records
* Provide leadership and support to document management teams across multiple projects
* Provide guidance on standards, processes, best practices and data flows through to full customer turnover
* Drive alignment with program-wide requirements
* Establish procedures and work instructions for document development, distribution and retention; work with project teams, contractors, suppliers and other stakeholders to ensure procedures deliver the required information level
* Lead the training, implementation, assessments and improvements of document management workflows
* Create quality monitoring methods and processes to monitor and report data entry accuracy
* Develop metrics to measure efficiency and effectiveness of processes; prepare monthly progress reports for management
* Implement standard document management workflow processes; address gaps and improve processes as needed
* Interface regularly with internal and external customers to ensure deliverables meet expectations
* Establish records formats as required by contract and storage requirements/methods
* Utilize Bechtel standard Aconex and client system InEight to manage access, registration, distribution, and transmission of project documentation
* Coordinate development of individual project turnover and archival plans
* Perform other duties as directed by Bechtel management
Education And Experience Requirements
* Industry experience gained through a recognized certificate or degree in a STEM-related field, and/or specialized courses in document management, engineering or related fields, with 8–10 years of experience, and/or 12–14 years of relevant work experience
Required Knowledge And Skills
* Strong leadership, stakeholder management, analytical and technical skills
* Proficiency and experience in project document management, including procedural work, customer interfaces and records management
* Experience in training and supervision of personnel
* Good oral and written communication skills
* Knowledge of budgeting and cost management
* Strong organizational skills
* Knowledge of Bechtel or EPC industry and regulatory standards for record keeping
* Working knowledge of computer programs for records tracking, archival, retention, and storage
* Familiarity with quality assurance programs and Documents, Records & Information Management (DRIM) requirements
