Outlook Eye Specialists is a privately owned Ophthalmic medical practice with locations at Southport, Coolangatta and Robina. The practice is dedicated to providing personal and individualised care by our doctors in the treatment of eye conditions to achieve the best possible outcome for each patient.
We are seeking a professional Doctors Personal Assistant with prior experience within an Ophthalmology practice, preferred.
This role is offered as either permanent part-time (32-38 hours per week) or full-time (38 hours per week) - immediate start and must be willing to travel to all 3 practice locations.
About the role:
You'll be the first point of contact for our patients - whether on the phone or at the front desk - and play a key role in ensuring smooth day-to-day operations of the practice.
Your Responsibilities:
* Answering high volumes of incoming calls with professionalism and empathy
* Booking, confirming and managing appointments across multiple locations
* Welcoming patients and assisting with check-in and paperwork
* Providing administrative support to doctors and clinical staff
* Liasing directly with specialist
* Coordinate and maintain up-to-date theatre lists
* Order prosthetics and required surgical supplies
* Liaise with hospitals, theatre staff, and anaesthetists
* Ensure all consents and pre-operative documentation are complete
* Processing Medicare, DVA, and private practice billing
* Scanning, filing, data entry, and general admin duties
* Supporting the team in creating a warm and efficient environment
About you:
* Prior personal assistant experience in medical (ophthalmology or specialist experience highly regarded)
* Confident handling multi-line phones and a busy front desk
* Strong computer skills - familiarity with Genie or similar practice software an advantage
* Excellent communication skills, both verbal and written
* A calm, organised and caring nature
* Ability to multitask, prioritise, and work under pressure in a team environment
