Our Team: The Program is the acquisition and sustainment management organisation responsible for governing, supporting, and assuring capability within the Aerospace Combat Systems Branch. It delivers asset management, project management, financial management, engineering services, and business management across multiple phases of a major Defence project. The organisation comprises an integrated workforce of around 100 ADF, APS, and above‑the‑line contractor personnel primarily based at RAAF Base Williamtown. The Program is further supported by approximately 50 additional personnel—including Cooperative Program Partner members, Reservists, embedded staff, and below‑the‑line contractors—located across Australia and the United States. About the Role: In this role, you will provide high‑quality Business Operations Support to the Program. You will play a key part in enabling effective governance, coordination, and day‑to‑day operations, ensuring activities are delivered efficiently, accurately, and in line with Defence requirements. Working under limited direction in a fast‑paced, integrated environment, you will manage competing priorities, coordinate complex tasking, and support executive‑level forums, travel, events, and communications. Your work will directly contribute to the Program’s operational effectiveness, organisational health, and governance outcomes. This role is ideal for someone who is highly organised, well‑spoken, detail‑oriented, and proactive, with a positive mindset and the confidence to engage effectively with senior stakeholders across Defence. This full-time position is based at Williamtown, near Newcastle. What’s Involved: Provide timely, efficient, and positive business operations support Manage and coordinate internal and Branch tasking and communication, including inbox management, drafting correspondence, obtaining appropriate approvals, and ensuring completion in line with task requirements and deadlines Support business meetings, workforce activities, and interviews through document preparation, Outlook scheduling, room setup, and attendee support Assist with the coordination and management of travel requirements Manage scheduling, workforce coordination, and event planning for the program, including coordination of official visits Manage and coordinate the inwards and outwards clearance process using Defence information systems Collate data and coordinate executive‑level forums, including monthly internal governance boards Undertake data analysis and reporting on organisational health metrics Support the Quality Management function through coordination, co‑development, review, and maintenance of controlled documentation Where appropriate, support the Defence Business Management Unit (DBMU) in identifying and implementing process improvements across business management functions Who we’re Looking For: You are a highly organised and articulate professional who takes pride in enabling senior leaders and teams to operate effectively. You communicate clearly and professionally, manage inboxes and priorities with confidence, and are comfortable working across Defence systems, corporate tools, and governance frameworks. You’ll Need: Experience in business operations, workforce support, administration, or executive support within Defence, government, or a similarly complex organisation Strong experience managing inboxes, schedules, and correspondence for senior stakeholders Well‑developed verbal and written communication skills, with a professional and confident manner Proficiency with Outlook, Microsoft Office, and document creation (briefs, minutes, reports, packs) Experience using Defence systems for tasking, travel, clearances, workforce or corporate reporting Knowledge of Power BI or dashboarding tools is advantageous Experience supporting meetings, events, travel coordination, and executive‑level forums Familiarity with governance processes, document control, and Quality Management Systems is desirable A proactive mindset with demonstrated interest in process improvement and operational efficiency NV1 security clearance or the ability to obtain one (Australian citizenship required) What’s in it for me?
